We’re a fast-moving production company that creates YouTube videos, commercials, branded content, online courses, social ads, and training videos for clients who care about storytelling, quality, and results. Our team is remote and collaborative, with specialists in editing, design, scripting, strategy, and more.
Now we’re looking for someone who can own the operational side of each project and ensure smooth delivery from kickoff to final export.
???? What You’ll Own
Project Coordination & Management
Manage day-to-day timelines for multiple client projects
Create and update production schedules and calendars
Draft and distribute call sheets for shoot days
Assign tasks to video editors, motion designers, writers, and other tea
Track progress in Upbase (or whatever tools we use to track progress)
Asset Management
Collect, label, and organize client-provided and team-generated assets (footage, scripts, graphics, etc.)
Create asset folders for each project, ensuring easy access for all tea
QC deliverables and ensure everything matches client specs and expectations
Client & Team Communication
Draft client update
Follow up with tea
Jump in to book meetings, schedule reviews, and keep communication flowing
Admin & Operational Support
Support with inbox and calendar management (if needed)
Take notes during client or internal calls, summarize action items
Help organize version history and file delivery for final exports
? You’re a Fit If You...
Are fluent in English.
Have experience as a virtual assistant, production coordinator, project manager, or operations assistant in a creative or video-based business
Are deeply organized and detail-obsessed (typos and misnamed files drive you nuts)
Are confident communicating with editors, designers, and clients
Have used tools like ClickUp, Notion, Trello, Google Drive, Slack, and Loom
Are self-directed and proactive - you don’t wait to be told, you figure out what’s needed next
Can work independently in a remote team without babysitting
???? Bonus Points If You...
Have experience managing post-production workflows (editing, revisions, QC)
Understand the basics of YouTube and social video formats
Can support creative briefs or compile moodboards / references for creative tasks
Have supported shoots (even remotely) with call sheets, booking, or prep

This is a part-time remote role with room to grow into a full-time position based on performance and project load.
Location: Fully remote — but must have overlap with EST or PST time zones
