Role Overview
The Client Concierge Associate plays a key role in supporting and executing the daily operations of the Client Concierge Department at Noble Beast Dog Training. This role focuses on client communication, service coordination, scheduling support, and operational execution while partnering closely with the General Administrative Manager and Dog Training Team Leadership to ensure a high-quality client experience.
This position requires a highly organized, proactive individual who thrives in a fast-paced, service-oriented environment and contributes to continuous improvement across administrative and client-facing processes.
KEY RESPONSIBILITIES:
CLIENT & SERVICE SUPPORT
- Respond to client, trainer, and internal inquiries via
- Register and enroll dogs into training services accurately and efficiently
- Support client onboarding, scheduling, and service coordination
- Maintain high standards of customer service and professionalism
DAILY OPERATIONS & ADMINISTRATIVE SUPPORT
- Support daily Client Concierge department operations
- Organize workload to ensure efficiency and responsiveness
- Complete assigned administrative and operational tasks
- Communicate relevant updates or issues to the General Administrative Manager
- Assist with department needs or coverage as required
SCHEDULING & COVERAGE
- Assist with team scheduling and coverage coordination
- Support scheduling for promotions,
- Help manage vacation and time-off coverage to ensure department needs are met
- Step in to provide coverage during emergencies, illness, or peak demand
PROCESS & DOCUMENTATION SUPPORT
- Assist with maintaining and updating templates for services and workflows
- Identify process gaps or inefficiencies and suggest improvements
- Support implementation of updated procedures or tools as needed
REPORTING & CADENCE
Weekly:
- Support productivity tracking and workload reporting as requested
Monthly:
- Assist with preparation of monthly reports and updates
- Participate in monthly tea
- Attend one-on-one check-ins with the General Administrative Manager as required
Quarterly
- Support quarterly performance or operational reviews as needed
- Participate in all-company meetings and department updates
SPECIAL PROJECTS & OTHER DUTIES AS ASSIGNED
- Participate in and support special department strategic projects, including but not limited to process improvements, system enhancements, service launches, and operational initiatives as assigned
- Collaborate cross-functionally with leadership, trainers, and administrative partners on time-bound or priority initiatives
- Assist with research, documentation, testing, rollout support, and post-implementation follow-up for departmental projects
- Adapt to evolving business needs and contribute to other duties as assigned
