ABOUT US
We are a lean but growing eCommerce brand selling natural products, with customers primarily in Europe and expanding to the US and Australia.
We operate with a small, distributed team and rely heavily on clear processes, good planning, and execution discipline. We are now looking for a Project & Operations Manager to take ownership of the day-to-day running of work across the team and ensure things move forward smoothly, on time, and with clarity.
ROLE
You will act as the bridge between management and execution.
Management defines the what (roadmap, priorities).
You own the how (planning, task breakdown, sprint execution, follow-through).
Your core responsibility is to ensure that work is:
- Clearly defined
- Properly planned
- Executed within scope
- Delivered on time
Role can be part time or full time.
KEY RESPONSIBILITIES
Project & Sprint Management
- Translate high-level roadmap items from management into clear tasks, milestones, and sprint plans
- Plan and maintain 3–4 sprints ahead (near sprints detailed, future sprints higher-level)
- Own the task backlog in ClickUp: prioritization, hygiene, dependencies, status accuracy
- Ensure sprint scope is realistic and protected from unnecessary churn
- Review task estimates and challenge unclear or unrealistic plans
Execution & Delivery
- Act as a lightweight scrum-style facilitator:
> Identify blockers early
> Proactively resolve issues (not just escalate)
> Ensure tasks actually move to completion
- Keep tea
- Ensure recurring and deadline-driven tasks (e.g. VAT filings, reporting cycles) are completed on time
Process & Documentation
- Absorb and work within existing SOPs and project management processes (documented in Confluence)
- Improve, refine, and extend those processes based on real-world execution
- Keep documentation current, practical, and usable
Communication & Coordination
- Facilitate weekly project and operations calls:
> Prepare agendas
> Keep discussions on track
> Capture actions and follow-ups
- Provide clear, structured updates to management on delivery status, risks, and bottlenecks
- Coordinate across functions (ops, customer support, external partners) when needed
Tools: ClickUp, Confluence, Google Workspace (Excel/Sheets)
WHAT WE ARE LOOKING FOR
Required Capabilities
Strong organizational and execution skills
Comfort working with ambiguous inputs and turning them into structured plans
Experience managing tasks, workflows, or projects with real accountability for outcomes
Strong written and spoken English
Confidence using task/project management tools (ClickUp, Jira, Asana, etc.)
Strongly Preferred
- Experience in eCommerce, operations, logistics, or multi-team environments
- Data-savvy mindset: comfortable working with reports, spreadsheets, and operational metrics
- Experience improving or designing workflows, not just following them
- Ability to push back constructively when requirements are unclear or unrealistic

WHAT THIS ROLE IS NOT
- Not a basic VA role
- Not a pure note-taker, meeting scheduler or lead generation
- Not a “wait for instructions” position
- Not a role where everything is spelled out step by step
