Job Overview
We are a fast-growing U.S.-based company that supports multiple service businesses (construction, landscaping, home services, and technology).
I am the founder and sales leader. I need a highly organized, disciplined Operations Coordinator / Executive Assistant to run daily operations, organize systems, document processes, and help build a remote team.
This is a long-term role for someone who wants stability, growth, and responsibility — not a short-term gig.
What You Will Do
Organize daily tasks, calendar, and priorities for the founder
Create SOPs (step-by-step processes) from Loom videos and instructions
Manage CRM (Pipedrive): clean data, update stages, track follow-ups
Coordinate hiring: screen applicants, schedule interviews, track candidates
Manage internal documents, checklists, and workflows
Communicate with remote contractors and ensure tasks are completed
Keep everything organized, documented, and running smoothly
Required Skills
Excellent written English (clear, professional, and structured)
Strong organization and attention to detail
Comfortable learning tools like:
Google Docs / Sheets
Pipedrive (CRM)
Zapier (training provided)
Calendly
Loom
Ability to follow instructions and improve systems
Reliable internet and quiet work environment
Nice to Have (Not Required)
Experience as an Executive Assistant, Operations Assistant, or Project Coordinator
CRM or automation experience
Experience working with U.S. clients
Experience documenting SOPs
Work Schedule
Remote
30–40 hours per week
U.S. Eastern Time overlap preferred (at least 3–4 hours)
