Schedule: Full-time, 8:30 AM – 6:00 PM Eastern Time
We’re looking for a highly organized, proactive Executive Assistant to support our CEO with a strong focus on sales, investor relations, and day-to-day operations. This role is ideal for someone who thrives in fast-paced environments, communicates clearly, and takes ownership of follow-through. We are a fast-growing AI tech startup based in North Carolina, USA and looking for someone long-term.
Key Responsibilities
Executive Support
- Manage CEO’s inbox and calendar, including prioritization, scheduling, and follow-ups
- Coordinate meetings across time zones and ensure agendas and materials are prepared in advance
- Book budget-friendly travel (flights, hotels, ground transportation) and manage itineraries and budgets
Sales & Investor Support
- Review meeting notes and send clear follow-up
- Make outbound calls to follow up with prospects or schedule meetings
- Prepare meeting briefs for CEO including background research on investors, prospects, and partners
- Proactively send out agendas prior to the call
- Update and customize sales or investor decks prior to meetings
- Eventually will facilitate Sales Discovery and Demo calls independently
Content Support
- Scroll LinkedIn, X, and Reddit and leave insightful comments on industry thought leader posts
Administrative & Personal Assistance
- Handle light personal assistant tasks (restaurant reservations, appointments, scheduling)
- Maintain organized records, notes, and task tracking in internal systems (Notion, Slack, Attio CRM)
Required Skills & Qualifications
- Excellent spoken and written **English proficiency**
- 2+ years of calendar and inbox management experience for executives
- 2+ years of experience in Sales or Customer Success roles, including
- Must use AI extensively
- Clear, professional written communication
- Comfortable making and receiving phone calls
- Highly organized, detail-oriented, and reliable
- Able to work independently and manage multiple priorities
- Familiarity with social networks: LinkedIn, X, TikTok, and Reddit
