About the Role:
We’re hiring for this role beginning in January for an experienced Real Estate Executive Assistant to be the operational backbone of a busy, luxury-focused team. You will manage contract-to-close workflows, coordinate listing logistics and marketing, and deliver consistent, thoughtful client care that aligns with our white-glove brand.
Core Responsibilities:
1. Transaction coordination
* Manage contract-to-close for buyers and sellers.
* Prepare listing paperwork and support MLS input.
* Schedule and confirm inspections, appraisals, walkthroughs, and closings.
* Track and protect contract deadlines; ensure timely execution of documents.
* Maintain complete transaction files in
* Ensure Dotloop/files meet compliance standards.
* Client care & communications
* Serve as a primary client touchpoint for operational updates.
* Send milestone reminders, personalized check-ins, post-close appreciation touches, and manage client event logistics.
* Support post-closing client touches and appreciation gestures; log and action follow-ups in the CRM.
* Log all client communication in the CRM and maintain clear follow-up actions.
2. Marketing & listing support
* Coordinate photography, video, signage, print collateral, and listing pages.
* Create and schedule branded marketing assets (Canva) and support
* Prepare marketing packages consistent with brand standards.
3. Administrative operations
* Calendar and inbox management, appointment scheduling, and triage.
* Prepare presentations, market summaries, and client reports.
* Maintain organized files in Microsoft 365 / Google Drive and track tasks in
* Support special projects and team initiatives as needed.
Qualifications:
* 2+ years supporting a U.S. real estate team (EA or TC).
* 1+ year transaction coordination experience (50+ U.S. closings).
* Proficiency with Dotloop (or similar), MLS, Canva,
* Strong English communication skills (written and spoken) required for client-facing communications.
* Meticulous attention to detail.
* Friendly, service-oriented, and genuinely devoted to supporting clients through major life transitions.
* Must be available during Miriam’s business hours: Monday–Friday, 9:00 AM–5:00 PM EST — non-negotiable.
* Highly dependable and self-motivated; thrives working remotely and taking ownership of projects
* Tech baseline (required)
* Reliable high-speed internet
* Working webcam and headset/microphone. Wired Ethernet preferred for critical calls.
* Quiet, professional workspace for video calls.
