About the Role
We are hiring a Client Success Manager to manage a portfolio of residential rental properties. You’ll be the primary point of contact for clients and will coordinate with vendors, leasing, maintenance, and occasionally vendors to keep properties performing well and clients confident. We are hiring a Client Success Manager to manage a portfolio of residential rental properties. This is an execution and communication role. In this role your mantra will be systems, clean notes, accurate records, fast follow-through, proactive updates, and clear reporting. We operate with a “Good Data In Great Results Out” methodology. Your ability to maintain accurate information and turn it into great decisions matters.
What You’ll Be Doing
1) Client Management & Communication
Conduct onboarding calls and set expectations using our Good Data In Great Results Out approach.
Maintain detailed notes of all client communications both inbound & outbound.
Provide proactive outreach: portfolio updates and recommendations build productive relationships.
Respond to escalated client
Obtain client approvals per policy before authorizing work.
2) Portfolio Operations, Leasing & Vacancy Control
Monitor vacancies and review showing/leasing reports weekly with clients and provide recommendations focused on keeping DOM low and increasing Resident retention.
Setting rental rates using our Rental Analysis methodology.
Oversee unit turns to ensure they’re completed quickly and cost-effectively.
3) Maintenance & Vendor Coordination
Oversee maintenance workflows: requests, vendor coordination, approval ( If needed), completion close-out.
Oversee work orders documentation accuracy( notes, photos, invoices, approvals).
Follow up on open items to ensure tasks close and do not stall.
Review vendor performance and escalate recurring issues with a focus on a final resolution.
4) Financial Oversight
Review and collect outstanding client payables in a timely manner.
Secure client funds as needed before approving work orders or expenses.
Review monthly owner statements for accuracy prior to dissemination.
Oversee legal filings against delinquent Residents.
5) Compliance & Documentation
Maintain working knowledge of rental compliance basics and follow internal compliance checklists.
Ensure client and property compliance with all federal, state, and local regulations
Store all client/property documents correctly using HWPM’s internal file structure.
How You’ll Be Measured
Collections: 90%+ of client payables collected within 45 days
Client Response Time: 90% of escalated client
Owner Statements: 90% Accuracy in statement review before dissemination
Days on Market: Maintain DOM under 45 days for vacant units
Unit Turns: 95% of turns completed within 14 days of vacancy
Compliance: 100% of rental/lead registrations completed on time
Client Retention: Maintain 90%+ annual client retention
Requirements
Required Skills & Experience
2+ years of experience in long-term residential property management (U.S. portfolio experience is a plus).
Strong written and spoken English; professional client communication is a must.
Confident coordinating vendors, maintenance, unit turns, and leasing workflows.
Excellent organization: you track details, follow up without being reminded, and keep clean records.
Comfortable with property management systems (any of these is great): Buildium, AppFolio, and Rent Manager is preferred
Bachelor's Degree

Compensation & Benefits
Probation Period- 6 weeks 200.00 per week.
Probation Full-time: $220/week ($880).
Post-Probation Full-time: $240/week ($960).
Paid Time Off (PTO): Accrues at 1 day per month
