About the Role
We are a growing, systems-driven construction company based in Calgary, Canada. We are looking for a full-time Executive Operations Virtual Assistant to work closely with the founder and help execute daily marketing, CRM operations, sales support, internal systems, and basic bookkeeping preparation.
This role is designed for someone who wants stability, long-term growth, and increasing responsibility.
It is not a freelance gig and not a pure social media role.
Responsibilities
1. Marketing & Content (Execution)
Daily posting on
Scheduling and repurposing content
Creating Canva graphics and short video edits (CapCut)
Writing basic captions based on provided direction
Responding to comments/messages (non-pricing only)
2. CRM & Systems (GoHighLevel)
Managing contacts, pipelines, and tasks
Updating lead statuses and follow-ups
Creating and maintaining forms
Assisting with CRM automations (training provided)
Keeping CRM data clean and organized
3. Sales & Admin Support
Booking sales meetings
Preparing quotes from templates (no pricing decisions)
Sending contracts and follow-ups
Organizing Google Drive files and templates
Maintaining SOPs and internal checklists
4. AI Content Support
Drafting short scripts for AI-generated videos
Producing AI avatar / voice videos (training provided)
Organizing and scheduling AI content
5. QuickBooks Support (Preparation Only)---This is NOT an accounting role.
You will support bookkeeping preparation only, including:
Uploading and organizing receipts and supplier invoices
Categorizing expenses based on predefined rules
Attaching documents to transactions
Tracking sent vs paid invoices
Flagging uncategorized or unclear transactions
Preparing monthly summaries for the owner or accountant
You will NOT:
Reconcile bank accounts
File taxes (GST/HST)
Handle payroll
Make payments or transfers
6. Hiring Support
Posting job ads
Screening resumes
Scheduling interviews
1st round shortlisting
Maintaining a simple hiring tracker

9. Compensation
Full-time (40 hours/week)
