Singapore-incorporated AI automation startup for medical/aesthetic clinics. We implement GoHighLevel end-to-end: forms, funnels, advanced calendars, workflows, LLM automations, and full-funnel reporting. Small senior team, fast decisions, zero drama.
Region & Schedule
Australia-focused (AEST/AEDT core hours). Open to AU-based or APAC talent fully overlapping AU hours. Weekly client calls across AU + SG/MY.

The role
Own onboarding from discovery ? go-live ? first 60-day success. You’ll build/QA GHL assets, wire Google Ads & TikTok tracking into GHL, create executive dashboards, and run weekly client meetings. You’ll also train internal/external teams and keep playbooks tight.
What you’ll do
Client onboarding & CS


Scope, project plan, acceptance criteria; lead weekly status calls; keep action logs tight.


Run playbook checklists (forms ? calendars ? pipelines ? automations ? reporting).


GoHighLevel build


Forms & funnels with UTM/GCLID capture, hidden fields, spam controls.


Advanced calendars: multi-rule/round-robin, buffers, provider rules, no-show logic, Zoo ---------- et.


Workflows: dynamic emails/SMS, conditional paths, merge fields, custom values, reactivation sequences.


Ads & tracking


Google Ads: GCLID/UTM capture ? contact fields ? offline conversion uploads (lead stage mapping, values, de-dup rules).


TikTok Ads: Pixel + Events API/CAPI mapping for key events (form submit, schedule, attended).


GA4/GTM where needed; verify events and fix data gaps.


Reporting


Build exec dashboards (in GHL and/or Looker Studio): leads ? bookings ? show rate ? revenue, by source/campaign/adset/provider/location.


Monthly/quarterly business reviews (MBR/QBR) with clear recommendations.


Training


Create SOPs, checklists, short Looms; deliver live training to clinic staff and partners.


Must-haves (no exceptions)
HighLevel power-user (2+ yrs or 15+ implementations) — funnels, forms, workflows, calendars, pipelines, snapshots.


Proof of HighLevel certification(s) (or equivalent demonstrable expertise).


Google Ads + TikTok Ads tracking into GHL: GCLID/UTM capture, offline conversions import, Pixel/CAPI.


Comfortable leading weekly C-level calls in Australia; strong written/verbal English.


Can translate messy requirements into clean builds with zero production surprises.


Solid PM hygiene (ClickUp/Asana), change logs, rollback plans.


Nice to have
Healthcare/clinic onboarding experience; multi-location setups.


WhatsApp/Twilio, Messenger, email warm-up basics.


Light n8n/Zapier familiarity to coordinate with our automation team.


Success in the first 30–60 days
3–5 new accounts fully onboarded (forms/calendars/workflows/reporting live) with tracked conversions.


One standard AU snapshot refined (forms + calendars + baseline workflows + reporting pack).


Training pack (SOPs + Looms) delivered; QBR deck template in use.



Screening (show, don’t tell)
Portfolio: 1–2 GHL snapshots or screenflows (redact secrets) showing:


Multi-rule calendar, dynamic email workflow, and your reporting view.


Tracking brief (one page max): your steps for


GCLID/UTM capture ? offline conversion upload to Google Ads from GHL.


TikTok Pixel + Events API mapping for form submit & schedule.
