ABOUT THE ROLE
We are seeking a highly organized, detail-oriented Bookkeeping & Finance Operations Assistant to join our growing U.S. eCommerce companies.
This is a core operational role supporting Finance, HR, and Operations. You will handle day-to-day bookkeeping tasks, AP/AR, reconciliations, financial documentation, administrative support, and basic HR admin.
This is a long-term, stable, full-time role with room for growth. Accuracy, reliability, and strong communication are essential.
KEY RESPONSIBILITIES
Bookkeeping & Finance (Primary)
- Enter and manage Accounts Payable in Xero
- Upload and categorize receipts (Dext/Hubdoc/Google Drive)
- Schedule and process payments via Chase Bill Pay
- Reconcile: Bank accounts, Credit cards, PayPal, Braintree, eBay
- Maintain clean vendor records and AP aging
- Prepare weekly AP and Bills-to-Pay reports
- Support month-end close: Reconciliations, Verification of transactions, Preparing financial folders, Draft P&L and Balance Sheet for review
- Maintain and organize Finance Drive folders
Administrative & HR Support
- Track and update PTO balances
- Payroll Managment
- Maintain employee files and documentation
- Assist with employee onboarding (collect forms, IDs, signatures)
- Maintain company directories, calendars, and internal lists
- Assist with basic HR compliance tasks
- Support leadership with organized documentation and reminders
Operations & Documentation
- Update and maintain SOPs and internal process documents
- Track licenses, vendor agreements, compliance certificates
- Ensure accuracy and organization of shared Google Drive folders
- Communicate with vendors to request invoices, statements, or credits
ClickUp / Systems Support
- Maintain organization of tasks and lists in ClickUp
- Update recurring tasks and build task templates
- Clean-up/archive outdated tasks
- Ensure accurate data for operational reporting
General Support
- Prepare reports, spreadsheets, and summaries
- Assist with simple logistics and supply orders
- Coordinate team recognition (birthdays, anniversaries, small gifts)
- Conduct research for tools, vendors, pricing, and services
- Support special projects for Finance and Operations leadership
QUALIFICATIONS
1. Experience using Xero is REQUIRED
2. Bookkeeping or AP/AR experience preferred
3. Strong English communication skills
4. Highly detail-oriented and organized
5. Ability to manage recurring tasks independently
6. Proficient with Google Sheets, Docs, Drive
7. Experience with confidential financial/HR data
8. Experience with ClickUp or similar project tools is a plus
9. Stable internet connection + backup power plan
WORK SCHEDULE
- Full-Time (40 hours/week)
- Must have availability during U.S. Eastern Time hours
- Long-term role with stable employment
COMPENSATION & BENEFITS
- Starting salary: $1,000 - $1,400/month
