We’re looking for an Operations Manager to keep client projects running smoothly. You’ll join all client calls, track tasks, update timelines, and make sure both clients and teams stay on track. This role is not client facing during live calls. You will not be required to speak. Your main job is to make sure information is accurate, timelines are updated and expectations are managed on both sides. This role is all about staying organized, following processes, and making sure nothing falls through the cracks.

Your work will move across call support, organization and workflow management.
Client Call Support
• Join all client calls and stay fully present
• Listen closely and note down the key tasks, timelines and next steps
• Record every call on Fathom and file each recording properly
• Keep track of follow ups and make sure nothing gets missed
ClickUp Management
• Update client timelines, tasks and statuses after every call
• Make sure clients and internal teams use ClickUp correctly
• Flag overdue tasks, missing info and blockers
• Keep ClickUp organized, accurate and easy to understand
SOP and Workflow Organization
• Update our Teams SOP with any new steps or process changes
• Coordinate with internal teams to confirm ownership
• Maintain consistency across all project workflows
• Keep everyone aligned on what needs to happen next
Communication and Coordination
• Share clear updates with the team after every call
• Ensure both sides follow the agreed process
• Keep projects moving smoothly from call to delivery
REQUIREMENTS
• Strong attention to detail
• Calm and focused during calls
• Great at organizing information
• Confident using ClickUp or similar tools
• Comfortable managing multiple timelines
• Proactive and able to spot issues early
• Good communicator and steady under pressure
