That's where you come in.
We're hiring a remote Operations Admin VA to help us behind the scenes. Damage claims, cleaner invoices, refund tracking, guest chargebacks — all the little fires that pop up after checkout. We need someone who can stay organized, follow through, and keep things moving even when the rest of the team is offline.
What You'll Be Doing:
Send a short daily update in Slack — what you finished, what's pending, what needs attention
File insurance damage claims with proper documentation
Fill in light guest messaging support via Hospitable, Airbnb, VRBO, OpenPhone, and
Escalate maintenance or access issues using internal SOPs
Track vendor invoices and flag missing ones
Log maintenance receipts and guest refunds
Flag urgent or unusual cases for review and documentation
Coordinate refunds, chargebacks, and expense tracking with our bookkeeper
Follow up with cleaners, vendors, and field staff to confirm resolution — and don't stop until it's actually resolved
A Bit About You:
You're organized, dependable, and don't need to be micromanaged
You close loops. You don't wait to be reminded. You don't ask permission to do something obvious.
You write clearly and double-check your work before sending it
You treat "done" as meaning fully done — logged, confirmed, and closed
You've done STR, admin, or bookkeeping support before
You're comfortable in Spreadsheets, Slack, and ideally a PMS like OwnerRez
When something isn't clear, you say so. When something is clear, you act on it.
One thing that will not work here: outsourcing your thinking to your manager. We'll give you SOPs, training, and support — but we expect you to use your own judgment and own your work.
The Job:
Full-time, 8 hours per day, 5 days per week
Shift: Thursday through Monday, 9 AM to 6 PM Eastern Time (includes 1 hour break)
Starting pay: $3.50 USD/hour
13th month pay included
First raise at 6 months, second at 12 months — both based on performance
One full week of paid training before your regular shift begins
After training, your shift may rotate every 90 days to support team needs
