Role Summary
The Executive Assistant will be responsible for providing high-level administrative, creative and coordination support. This role ensures smooth day-to-day functioning of internal processes, accurate maintenance of company records, timely communication and efficient organization of meetings, documentation, and assigned tasks.
Key Responsibilities
Excel / Sheets Management
Prepare and maintain Weekly Meetings Updates
Update and manage Employee Logs
Maintain the firm’s directory in collaboration with Operations manager
Prepare and send Monthly KPI
Share and coordinate for updates with marketing team (when required)
Admin / Operations
Download and prepare productivity reports
Download and organize bill payments and receipts
Set up prospect client profiles in CRM
Complete specific administrative tasks assigned in a timely manner
Creative / Process Documentation
Update organizational charts and templates through Canva
Draft, format, and maintain Standard Operating Procedures (SOPs)
Keep Trainual documentation updated with new processes and workflows
Client Coordination / Internal Coordination
Call clients to schedule meetings with President and Staff Accountants
Send OnceHub booking links to clients for financial review calls and ensure timely scheduling
Ensure Business Action Plans are updated and respective persons are meeting-ready
Coordinate and book flight tickets and hotel reservations when required
Required Skills & Qualifications
Proven experience as an Executive Assistant or Administrative Coordinator
Strong proficiency in Google Sheets, Excel, and documentation tools
Excellent communication
Ability to multitask and manage deadlines efficiently
Familiarity with Canva, Trainual, scheduling systems and CRM tools (preferred)
Highly organized, detail-oriented, proactive, and reliable
Note: There will be a 90-day probation period, during which performance evaluations will be conducted at regular intervals. At the end of 90 days, the company will make a decision regarding finalization or non-finalization of employment & may result in a raise.
