This is an independent contractor virtual assistant role, not an employee position. You will be responsible for your own taxes and any obligations required by Philippine law. Bellwether will not withhold taxes, provide benefits, or cover any employer-side obligations. You will be paid as a vendor for services rendered.

About This Role
We're looking for a Virtual Assistant Production Support Coordinator to support our Production Coordinator. You'll help keep projects moving, customers informed, and details documented. Some days you'll be the friendly voice calling homeowners with updates; other days you'll be placing material orders or scheduling inspections. The work varies, but the goal is constant: make sure nothing falls through the cracks.
This role matters because our reputation is built on flawless execution. When a Colorado family trusts us with their home, they're counting on us to deliver on time, on budget, and without surprises. Your work behind the scenes makes that possible.
You'll work closely with our Production Coordinator, who handles on-the-ground project management. Your job is to handle the administrative coordination and customer communication so they can focus on quality and problem-solving.

What You'll Be Doing
Order & Material Coordination
• Place material orders with vendors based on estimates, meeting notes, and field-verified measurements
• Track order status and delivery dates, following up with suppliers as needed
• Coordinate delivery schedules and pickups with vendors and job sites
• Arrange material returns after job completion and ensure credits are applied to the correct project
• Maintain accurate records of what's on order, what's delivered, and what's in inventory
Scheduling & Calendar Management
• Schedule pre-construction meetings, inspections, and production-related appointments using cloud-based calendar systems
• Coordinate schedules for subcontractors, in-house installers, and service calls
• Track and communicate project timelines across the team
• Manage warranty and service call scheduling
Documentation & CRM Management
• Update and maintain project files in our CRM (Acculynx), including job expenses, notes, and documentation
• Attach all relevant documents to the correct project file
• Document everything in writing—if it's not written down, it didn't happen
• Create and maintain process documentation as new workflows are developed
• Proofread documents for accuracy before they go to customers or vendors
Permitting & Inspections
• Assist with filing permit applications for various Colorado municipalities
• Schedule midpoint and final inspections as required by each jurisdiction
• Track permit status and ensure all inspections are completed on schedule
Reporting & Communication
• Track and report on the weekly/monthly production pipeline as orders are placed and delivery dates confirmed
• Communicate project status updates across the organization
• Provide notes and analysis on individual project performance when requested
• Participate in tea
Customer Communication
• Communicate professionally with customers throughout the project lifecycle
• Provide project updates, answer questions, and ensure a great customer experience
• Handle customer inquiries with patience and professionalism, even when they're anxious or frustrated

Schedule & Hours
Hours: 40 hours per week Schedule: Monday–Friday, 8:00 AM – 5:00 PM US Mountain Time (with a 1-hour lunch break)

We need someone who can commit to this schedule consistently. Reliability is one of our core values—our production team and customers are counting on you being available during these hours.
You must be 100% available during scheduled hours for ad-hoc video calls, phone calls, customer calls, and to resolve requests in a timely manner as they come up throughout the day.
Compensation
We believe in paying well and building loyalty. Here's what you can expect:
Base Pay: $1900 USD per month. For the first two months, we will pay weekly, after work is completed, $440/week. You will be paid via
Performance Bonuses: Based on individual performance. By achieving certain goals, you will earn bonuses for performance, of up to $150/week.
13th Month Bonus: Yes, we honor the 13th month. In early December, you'll receive a bonus equal to one month's compensation (prorated if you started mid-year). This is standard practice for us—we want you to have a great Christmas with your family.
We pay well because we expect excellence. In return for competitive compensation, we ask that you work exclusively for Bellwether. We know it's common to work multiple jobs simultaneously. We're paying you enough that you don't have to. We need your full focus and your best effort.
If we discover you're working other jobs during your scheduled hours with us, the contract ends immediately. No exceptions. This is a dealbreaker.
What We're Looking For
Required:
• Impeccable English—written and spoken. You'll be communicating with American homeowners, vendors, and tea
• Reliable high-speed internet connection (minimum 100 Mbps download)
• Quiet, professional workspace for phone and video calls
• Ability to work the full scheduled hours consistently
• Undergraduate degree from an accredited university
• Exceptional attention to detail: you catch errors others miss
• Strong organizational skills: you can manage tasks on multiple projects without losing track
• Proficiency with cloud-based software, CRMs, spreadsheets, and calendar systems
• Ability to proofread documents for grammatical, typographical, and contextual errors
• Professional phone manner and written communication skills
Strongly Preferred:
• 2+ years of experience in administrative assistant work, construction coordination, home services, or remodeling industry
• Familiarity with construction terminology (windows, siding, permits, inspections, etc.)
• Experience with CRM systems (Acculynx experience is a plus)
• Previous experience supporting US-based companies remotely
• Experience coordinating schedules, orders, or logistics
• Masters degree from an accredited university
