About the Role
Seeking a highly detail-oriented VA to support my work in the residential reconstruction and insurance restoration space. The role focuses on preparing written job details, reviewing insurance scopes, organizing documentation, and assisting in the estimating and scoping workflow.
If you have experience with Xactimate, construction takeoffs, or insurance estimating, you’ll be a strong fit. This is a long-term role with opportunities for growth as responsibilities expand.
Responsibilities:
Job Detail Preparation
Convert photos, measurement notes, and project information into clear job details
Organize room-by-room takeoffs using a standardized format
Identify missing measurements or inconsistencies
Draft scope notes or construction task breakdowns for review
Xactimate & Insurance Support
Review estimates from both our side and the carrier
Identify scope discrepancies and missing line items
Assist with rebuttals and scoping corrections
Review comp bids and help flag inaccurate pricing or incomplete scopes
Communicate with the internal scoping team
Project Coordination
Review daily updates and translate them into actionable steps
Track follow-ups, bids, approvals, and outstanding documentation
Maintain organized job folders and working files
Communication & Admin
Daily check-ins (can be completed asyncronously during PH daytime hours)
Ask clear questions when information is missing
Follow structured work processes and maintain accuracy
Take on more responsibilities as familiarity with the workflow grows
Non-Negotiable Requirements:
Experience with Xactimate (basic familiarity acceptable; advanced is a plus)
Understanding of construction terminology and takeoffs
Strong written English skills for clean, structured job details
High attention to detail
Strong communication skills with consistent daily availability
Comfort working with insurance-related documents and scopes
Ability to follow structured processes and quality standards
Preferred Qualifications:
Experience with restoration or reconstruction projects
Familiarity with U.S. insurance claim processes
Ability to interpret site photos and identify construction requirements
Strong critical thinking skills
Ability to quickly learn new software and systems
Familiarity with Basecamp is a big plus
