Position: Tax Administrative Assistant
Location: Fully Remote
Hours: Full-Time, Monday–Friday, aligned to standard business hours in the Pacific Time zone (8:00 AM – 5:00 PM PT)
We are a growing U.S.-based tax firm seeking a proactive and detail-oriented Remote Tax Administrative Assistant to support our client experience and administrative operations. This role is centered on skilled client communication; responding quickly, clearly, and professionally to ensure clients feel guided and supported throughout their engagement with our firm. The position is fully remote and ideal for candidates outside the U.S. who are fluent in English and able to work Pacific Time business hours.
Key Responsibilities:
? Serve as a primary client contact, managing high-volume
? Guide new clients through onboarding; sending forms, tracking submitted documents, and confirming completion of all requirements.
? Proactively follow up on open items to keep client work moving forward without delays.
? Prepare and securely send sensitive documents (e.g., engagement letters, final tax returns) while verifying accuracy prior to delivery.
? Maintain well-organized internal records and update systems to ensure client communication and status details are always current.
? Support additional administrative tasks that directly improve the client experience and help the tax team remain focused on technical work.
Required Qualifications:
? Excellent written and verbal English communication skills, with a strong customer service mindset.
? Strong attention to detail and accuracy, especially with names, numbers, and document tracking.
? Proactive self-starter who can independently manage priorities and follow-ups to ensure clients receive timely support without the need for close supervision.
? Demonstrated ability to manage client communication and sensitive data with professionalism and accuracy.
? Strong computer skills and ability to work across multiple platforms (Google Workspace, CRMs, task management tools).
? Candidates must be available to work full-time during regular business hours in the Pacific Time zone (approximately 8:00 AM – 5:00 PM PT, Monday–Friday).
Preferred Experience:
? Client-facing administrative experience in a tax, accounting, legal, or similar professional services environment.
? Experience with client onboarding processes and secure document handling.
? Familiarity with invoicing and billing platforms.
