We’re looking for someone proactive, organised, and commercially minded. Someone who doesn’t just follow tasks — but helps drive growth, build B2B relationships, and keep calendars full.

Full-Time Virtual Assistant – Direct Bookings & Outreach
Location: Remote

Hours: Monday–Friday (flexible, typically 9–5)

JF Property Management is a rapidly growing short-let management company helping landlords turn their properties into hands-off, high-yield assets. We manage 50+ units, maintain a strong five-star reputation, and are actively building our direct booking division to reduce reliance on OTAs.

Key Responsibilities
You’ll play a central role in supporting our direct booking strategy by speaking to past,current and new guests to ensure they had a high quality stay and if they would like to extend their stay or book again.
Core Responsibilities
Guest Outreach & Retention (Primary Role)
• Proactively call previous, current, and upcoming guests to check satisfaction, gather feedback, and resolve any issues.
• Identify opportunities to extend guest stays, offer direct booking discounts, and convert returning guests away from OTA platforms.
• Understand guests’ reasons for travel (work, relocation, long-term projects, corporate stays) to position suitable properties and length-of-stay options.
• Log all conversations, outcomes, and follow-ups in Notion and our CRM, ensuring every guest gets a timely and consistent experience.
• Build a long-term pool of repeat guests and business contacts, driving stronger occupancy and reducing OTA fees.
Outreach & Lead Generation (Secondary)
• Identify and contact local businesses (construction firms, relocation agencies, healthcare providers, corporate teams, etc.) with potential accommodation needs.
• Send outbound
CRM & Pipeline Management
• Maintain and update Instantly.ai and Notion pipelines with accurate lead status, contact history, follow-ups, and booking outcomes.
• Track performance across guest outreach, extensions, direct booking conversions, and campaign responses.

• Are confident using Notion, Gmail, Instantly, Google Sheets, and Slack
• Can write clear, professional, error-free messages
• Work proactively and independently
• Like helping a business grow through direct client relationships (not just platforms)
• Take ownership of your work and communicate well with a small team
Nice to Have (Not Essential)
• Experience in serviced accommodation, property, or hospitality
• Background in outreach, lead generation, or CRM admin
• Familiarity with outbound tools like Instantly, Pipedrive, or HubSpot
• Strong organisational systems or prior experience organising small teams
