We are seeking a highly organized, creative, and detail-oriented Virtual Executive Assistant to support our wedding planning team. The ideal candidate is proactive, tech-savvy, and thrives in a fast-paced, deadline-driven environment. This role is perfect for someone who loves organization, design, communication—and all things weddings.
Responsibilities
• Manage and track daily tasks, deadlines, and priorities
• Assist with client communication including follow-ups, scheduling, reminders, and responses
• Create, edit, and maintain wedding timelines and event schedules
• Build and organize mood boards (Canva, Pinterest, etc.) based on client preferences and design direction
• Create and revise venue floor plans (software training provided if needed)
• Prepare vendor outreach
• Organize and maintain digital files, proposals, and project management platforms
• Support with logistics and event details before and after planning meetings
• Assist with behind-the-scenes preparation before client calls, walkthroughs, and wedding days
• Conduct research as needed (venues, pricing, rentals, décor inspiration, vendor options, etc.)
