We are looking for a full-time (40+ hrs/week) Sales Automation & CRM Specialist based in the Philippines to turn our manual processes into a clean, automated system.
You will work directly with the owner (non-technical) and our existing PH team.
Role Overview
Your core mission:

Key Responsibilities
Process & System Design
Map our current process for:
Rightmove lead capture
Land Registry data enrichment
Landlord outreach
Propose and document a simple, scalable structure in Close:
Custom fields for landlords & properties
Lead statuses and stages
Smart Views (call lists, follow-up lists, urgent properties)
Close CRM Setup & Optimisation
Create and maintain Custom Fields (e.g. property address, Rightmove URL, listed date, available-from date, source, etc.)
Build Smart Views for:
New Rightmove leads
High-urgency properties close to their available date
Follow-up and “no response” lists
Set up Workflows / Sequences in Close to:
Auto-send or queue
Auto-create call tasks
Trigger follow-ups based on status and dates
Automation & Integrations
Use Zapier/Make (or similar) to connect:
Google Sheets ? Close (new rows create/update leads, update custom fields)
Close ? AI (OpenAI/ChatGPT) for generating
Implement and maintain WhatsApp integration with Close (e.g. TimelinesAI):
Ensure WhatsApp conversations sync with the correct leads
Help define when WhatsApp is used in the outreach sequence
AI Content Workflows
Create and maintain simple prompt templates for:
First outreach
Follow-up
Letters
Call scripts
Short WhatsApp messages
Build straightforward steps so the team can:
Trigger AI content
Review and edit before sending
Monitoring & Improvement
Help set up basic reporting:
Leads per week from Rightmove
How many have complete data (address, contact details, dates)
Response rates by channel
Suggest and run A/B tests (different subject lines, sequences, messaging angles).
Requirements
Must-Have
Based in the Philippines, able to work 40 hours/week
Solid experience with at least one modern CRM (Close, HubSpot, Pipedrive, Salesforce, etc.)
Hands-on experience with Zapier, Make or similar automation tools
Comfortable creating and managing:
Custom fields
Lists/filters/Smart Views
Automated workflows/sequences
Good understanding of sales/BD pipelines (stages, follow-ups, tasks)
Strong written English (you must handle English content accurately)
Able to explain technical setups in simple language to a non-technical founder
Highly organised, detail-oriented, reliable
Nice-to-Have (Bonus)
Direct experience with
Experience in real estate / property / lettings
Experience integrating WhatsApp with CRMs (TimelinesAI, Twilio, etc.)
Familiarity with ChatGPT/OpenAI or similar AI tools
Comfortable reading basic API/JSON data (for more advanced automations)
Work Schedule & Terms
Full-time: 40 hours per week
Remote: Work from anywhere in the Philippines
Some overlap with UK business hours preferred (at least 2–3 hours/day)
