We are a U.S.-based construction + manufacturing company that designs, builds, and installs custom automotive service pits, along with supporting internal systems, documentation, and operations tools. We are looking for a long-term Operations Coordinator who is organized, detail-focused, and excellent with systems.
This is NOT a simple VA job. You will help bring structure, order, and clarity to our operations. You will work directly with the owner on tasks that require accuracy, follow-through, and good written communication.
Responsibilities:
– Organize and maintain Google Drive, documents, and company folders
– Manage Asana tasks, follow-ups, and project boards
– Build and update our Notion Operations Manual (SOPs, workflows, checklists)
– Clean and update CRM records in HubSpot
– Prepare documentation packages, PDFs, and job folders
– Assist with project coordination and follow-up
– Help with simple technical tasks (training provided): basic Docker notes, simple Linux commands, DNS tracking, n8n workflow support
– Track vendor files, drawings, install photos, and internal documentation
– Write clear SOPs from verbal instructions
Requirements:
– Excellent English (written + reading)
– High attention to detail
– Ability to follow structured processes
– Strong organization skills
– Comfortable learning new tools quickly
– Familiarity with Google Workspace, Notion, or Asana (preferred)
– Steady, reliable, consistent personality
– High-C / High-S DISC profile preferred
Schedule:
Must have at least 4 hours overlap with U.S. Mountain Time for communication and task clarification. The rest of the hours are flexible.
Salary:
$900–$1,500 per month depending on experience and capability.
Full-time, long-term position (40 hours/week).
