About the Role
We’re a fast-scaling agency seeking a systems-first EA/Financial Tracker to own weekly reconciliations, reporting dashboards, SOP updates, and executive support. You’ll turn daily chaos into clean numbers, clear priorities, and consistent communication.
Key Responsibilities
Finance Ops: Reconcile bank/Stripe, track invoices & subscriptions, keep sheets accurate (?1% errors).
Reporting: Weekly cashflow & KPI snapshot; daily end-of-day report (tasks, blockers, next steps).
Systems: Maintain ClickUp/GHL hygiene, update SOPs, organize Google Drive.
EA Support: Calendar coordination, meeting notes, concise client/internal follow-ups.
Required Skills
Advanced Google Sheets/Airtable (lookups, pivots, dashboards, reconciliation).
Experience with QuickBooks (or equivalent) and basic bookkeeping workflows.
Strong written English; clear, concise summaries.
Tools: Google Workspace, ClickUp, GoHighLevel (GHL), QuickBooks, Loom, ChatGPT.
Nice to have: agency or real-estate background.
KPIs (How We Measure)
Reconciliation accuracy ? 1%.
95% on-time daily/weekly reports.
ClickUp/GHL hygiene ?90%.
3–5 tested SOPs by Day 60.
Work Setup
Reliable internet (min 25 Mbps) + backup, updated laptop/desktop, quiet workspace.
Communicate via Slack/Email; quick Looms when helpful.
Security-first: use our password manager; no credentials in Drive.
