We take pride in accuracy, accountability, and integrity — and we’re looking for a full-time Accounting & Collections Virtual Assistant to help manage invoicing, payments, and light customer service tasks.
Role Overview
You’ll play a key role in our accounting department — managing invoices, payments, reconciliations, and following up with customers who have past-due balances. You’ll also assist our Customer Service Representatives (CSRs) with billing questions and account-related customer calls when needed. This is a long-term position for someone reliable, honest, and detail-oriented who enjoys helping both customers and the company succeed.
Responsibilities
-Record invoices, expenses, and payments in QuickBooks Online
-Reconcile bank and credit card statements weekly
-Track accounts receivable and follow up with past-due customers by phone and
-Make professional collection calls to customers with outstanding balances
-Update aging reports and follow up on payment commitments
-Communicate with CSRs to resolve customer billing questions
-Prepare weekly financial summaries and aging reports for management
-Assist CSRs when they need help verifying customer payments or balances
-Maintain accuracy, confidentiality, and professionalism at all times
Requirements
-Fluent English (spoken + written) – you’ll speak directly with U.S. customers
-Proven experience in accounting, collections, or bookkeeping
-Experience using QuickBooks Online (required)
-Expert with Google Sheets / Excel
-Available to work U.S. Eastern Time (9 AM–5 PM EST)
-Strong communication and interpersonal skills
-Reliable internet and power backup
-Integrity, self-motivation, and accountability are must-haves
-Preferred (but not required): experience with Slack,
