Champion of Systems - Systems Implementer for Isleño Island Homes

Purpose of the Role
The Systems Implementer plays a key role in turning our philosophy of systemisation into reality. Working closely with our team, this role identifies where new or improved workflows are needed, maps processes with precision, builds them into ---------- for smooth management, and integrates automation and AI to make them as efficient as possible. In short, the Systems Implementer transforms the way work happens — creating systems that are clear, scalable, and easy for our team to follow.


Mission
Isleño Island Homes buys, renovates, and sells ready-to-move-in flats for remote-working entrepreneurs in Mallorca—and will expand to 20+ global lifestyle hubs over the next two years. We don't just sell properties - we help Entrepreneurs to Live a Life in Balance.
We operate like a tech company that happens to be in real estate. Our operations are systemized, our product is standardized, and our platform is designed to scale internationally. We build homes like software.

How We Bring This Mission to Life
We achieve this through one standardized product and a clear process playbook. Automation is our Standard. We refurbish in defined 6 week sprints with checklists and clear dashboards. Also, we manage the company in weekly sprints and review the company Bottleneck weekly.

We scale cleanly with a hub-in-a-box while keeping the customer journey smooth and predictable (from viewing to keys).


Key Responsibilities and Recurring Tasks
- Review existing workflows to identify opportunities for improvement, automation, or simplification.
- Collaborate with senior leaders to prioritise and scope new workflows based on strategic needs.
- Interview stakeholders to understand how work is currently done and translate this into accurate, detailed process maps using our internal mapping framework.
- Build and maintain corresponding workflows in Asana/ ---------- , ensuring every task has a clear owner, sequence, and expected outcome.
- Identify and implement AI and automation opportunities within workflows to enhance efficiency and reduce manual effort.
- Ensure all systems and workflows are well-documented, accessible, and supported by up-to-date training or reference materials.
- Promote a culture of system thinking and continuous improvement across the organisation.
- Conduct periodic reviews of established systems to identify further enhancements or automation potential.

These KRAs define the areas where the Systems Implementer adds measurable value — from mapping and building workflows to enabling automation, usability, and continuous improvement.

Process Mapping (Miro)
Business processes are captured, clarified, and visualised accurately through process maps, defining responsibilities and hand-offs clearly

Number of key workflows mapped per quarter; stakeholder interviews completed; adherence to internal “process mapping process”

Percentage of core business processes with up-to-date process maps; stakeholder satisfaction with accuracy and clarity
Workflow Management ( ---------- )

Workflows are translated into Asana/ Monday pipelines that reflect real-world processes with clear ownership, sequencing, and accountability

Workflows built or updated in Asana/ Monday; regular audits to ensure active tasks reflect mapped processes

Workflow completion rates within expected timeframes; reduction in overdue or misassigned tasks

AI and Automation Implementation (N8N)
Efficiency and scalability are improved through intelligent automation and AI integration, reducing manual effort and increasing consistency

Automation and AI opportunities identified, tested, and deployed

% reduction in manual steps within workflows; measurable time or cost savings from automation/AI adoption
System Accessibility and Usability

Systems are intuitive, easy to access, and well-supported by training materials

User documentation or training created; feedback collected and acted upon

Systems remain current and continuously evolve to improve efficiency and impact

Periodic reviews completed; improvement proposals implemented

Measurable increases in productivity, automation coverage, or system quality over time


Reporting and Accountability
The Systems Implementer reports directly to the Founder and provides regular updates on progress of process mapping, workflow development, automation or AI improvements, results achieved against lead and lag metrics, and challenges encountered with proposed solutions.
Formal performance reviews occur every 6 months, supported by monthly progress updates or summaries.

- Strong written and verbal communication; able to explain technical or process concepts clearly.
- Detail-oriented, methodical, and highly organised.
- Skilled in process mapping and workflow design.
- Proficient in Asana/ Monday and building n8n automation workflows
- Confident in adopting new software tools quickly.
- Experienced in identifying and implementing automation and AI-process improvements.
- Proactive problem-solver with a continuous improvement mindset.
- Collaborative and approachable, working closely with others to deliver great systems.
- Passionate about continuous improvement in self and systems

Authority and Decision-Making
The Systems Implementer has authority to create, document, and update workflows and process maps; implement or propose automation and AI solutions within agreed parameters; and recommend and test improvements to existing systems. Strategic or resource-related decisions are made in consultation with the Founder.

Training and Development
- Access to internal training in systems capture, SOP creation, process mapping, automation mapping, task management, project management and core applications.
