We are a fast-growing real estate team based in New Jersey (USA), and we’re looking for a proactive, detail-oriented Virtual Assistant who understands real estate workflows and marketing funnels. You will support our CEO, a high-performing real estate team leader and social media brand, by managing CRM activity, tracking leads, organizing pipelines, posting to our team Instagram account, and helping implement

? Responsibilities
You will be responsible for helping manage & optimize the team’s business operations, including:
???? CRM + Lead Management (Lofty)
Enter and organize new leads from Flodesk, Instagram, and website forms
Assign tags/stages & schedule next follow-ups
Track movement of leads and notify when follow-ups are overdue
Maintain summary tracker in Airtable
???? Airtable Tracking & Accountability
Maintain Airtable trackers (lead overview, daily tasks, agent accountability records)
Record progress/status for assigned agents’ accountability check-ins
Create simple organized views/reports
???? Flodesk
Add new leads to correct Flodesk segments
Set up and manage Flodesk nurture workflows
Schedule newsletters or drip campaigns (content provided or repurposed)
Track open rates & performance
???? Social Media (Instagram - Team Account Only)
Post 5x/week to team Instagram page (content provided or repurposed)
Track posts and performance in Airtable
Maintain posting schedule using Meta Planner or Canva scheduler

Monitor priority
Organize and flag messages needing response
Draft replies using templates when trained
???? Team Accountability Check-ins
Send daily reminders/check-ins to team agents based on script
Track responses in Airtable
Provide summary of who followed through

? Strong English writing & communication skills
? Able to follow systems but also suggest improvements
? Enjoys helping people stay accountable & on track
