JOB OVERVIEW

Real Estate Transaction Coordinator (TC) & Social Media Marketing Virtual Assistant
**Part-Time | 15–20 Hours per Week to start

About the Position

We are seeking an experienced, dependable, and proactive Virtual Assistant to support a small real estate and mortgage team. This role combines real estate transaction coordination, social media marketing, CRM management, and lead follow-up.

We are looking for someone with a proven track record who can manage real estate transactions, create engaging marketing content, and help keep our business organized and growing. The ideal candidate is highly organized, detail-oriented, creative, and comfortable working independently. You should be able to take initiative, meet deadlines, communicate professionally, and manage multiple responsibilities with minimal supervision.

**Previous experience as a Real Estate Transaction Coordinator in California is preferred.**
Candidates must demonstrate relevant experience and provide examples of their work.

Key Responsibilities for a California Real Estate Transaction Coordination

- Assist with coordinating residential real estate transactions from contract acceptance through closing.
- Track transaction deadlines, contingencies, inspections, disclosures, escrow milestones, and closing dates.
- Prepare, organize, review for completeness, and manage transaction documents and electronic files.
- Coordinate with agents, buyers, sellers, escrow officers, title companies, lenders, and other transaction parties.
- Follow up on outstanding documents, signatures, and required items to help keep transactions on schedule.
- Maintain accurate transaction records and provide timely updates on transaction status and upcoming deadlines.
- Assist with transaction checklists, compliance documentation, and file management using the team's established procedures.
- Help maintain organized digital files and ensure documents are submitted to the appropriate parties on time.

**California Real Estate TC Qualifications:**

- Previous hands-on experience coordinating residential real estate transactions in California.
- Working knowledge of the California real estate transaction process, including purchase agreements, disclosures, contingencies, escrow, inspections, and closing procedures.
- Familiarity with California Association of REALTORS® (C.A.R.) forms and common transaction documents.
- Understanding of transaction timelines, contract deadlines, and the importance of accurate documentation.
- Experience communicating with real estate agents, clients, escrow officers, and lenders.
- Familiarity with transaction management platforms such as SkySlope, Glide, DocuSign, Dotloop, or similar systems is a plus.
- Ability to handle confidential client information professionally and maintain organized transaction files.

Social Media Marketing & Content Creation

We want social media to do more than simply publish posts. Our goal is to build relationships, encourage conversations, generate engagement, and turn online connections into potential business opportunities.

Responsibilities include:

Create, edit, and schedule content for:
- Instagram
- Facebook
- TikTok
- YouTube and YouTube Shorts
- LinkedIn
- Google Business Profile
- Develop engaging social media posts, graphics, short-form videos, Reels, captions, and other marketing materials.
- Edit provided photos and videos and independently create content when needed.
- Repurpose existing content into multiple formats for different platforms.
- Help develop content ideas, campaigns, and strategies that encourage comments, direct messages, inquiries, and engagement.
- Write clear, professional English captions and marketing copy.
- Monitor social media engagement and respond to basic comments and messages when appropriate.
- Research relevant social media trends, hashtags, and content strategies.
- Assist with social media advertising and paid campaign management when qualified.
- Track basic performance metrics and identify opportunities to improve reach, engagement, and lead generation.

**Important: We are looking for someone who understands how to create content with a purpose and not just someone who knows how to schedule posts.

3. CRM & Database Management

- Maintain and update our web-based GoHighLevel (GHL) CRM and Follow Up Boss.
- Organize contacts, leads, prospects, and client information.
- Update contact records and maintain accurate database information.
- Assist with follow-up campaigns, appointment reminders, and lead nurturing.
- Help implement and maintain organized workflows and follow-up systems.
- Support email and text marketing campaigns as directed.
- Identify opportunities to improve organization, consistency, and follow-up within our CRM systems.

GoHighLevel and Follow Up Boss experience is preferred, but we are willing to train a qualified candidate who has experience with comparable CRM platforms.

Required Qualifications

- Proven experience as a Real Estate Transaction Coordinator, social media manager, marketing assistant, or in a comparable role.
- Strong preference for candidates with direct California residential transaction coordination experience.
- Very good written and spoken English, including professional business communication.
- Demonstrated social media content creation skills, with examples or links to previous work.
- Strong organizational skills and attention to detail.
- Ability to manage deadlines, prioritize tasks, and work independently.
- Comfortable learning new software, platforms, and technology.
- Professional, reliable, responsive, and proactive communication.
- Ability to maintain confidentiality and handle sensitive client and business information.
- Willingness to receive feedback, follow established procedures, and suggest improvements.

Candidates must have:

- A dedicated computer or laptop suitable for professional work.
- A reliable, high-speed internet connection; a wired connection is strongly preferred.
- A quality headset with a microphone for online meetings and calls.
- A quiet, professional work environment.
- Availability during mutually agreed-upon U.S. Pacific Time business hours.

Position Details

- Job Type: Part-time
- Hours: Approximately 15–20 hours per week to start
- Schedule: Flexible within agreed-upon Pacific Time working hours
- Growth Opportunity: Potential to increase hours and responsibilities as the business grows

How to Apply

To be considered, please submit the following with your application:

1. Resume: Include relevant real estate transaction coordination, marketing, and administrative experience.
2. Voice Recording: Provide a brief recording introducing yourself and explaining your relevant experience.
3. Work Samples: include links to social media accounts, videos, graphics, campaigns, or other marketing materials you have personally created.
4. Real Estate TC Experience: Briefly describe your experience coordinating real estate transactions, including the transaction management systems and forms you have worked with.
