Position Summary
The Real Estate Transaction Coordinator Supervisor oversees the end-to-end transaction management process for a high-volume real estate team or brokerage. This role ensures that all contract-to-close activities are completed with excellence, compliance, and efficiency. The Supervisor trains, leads, and evaluates a team of Transaction Coordinators, implements best practices, maintains compliance standards, and works closely with agents, clients, lenders, title/escrow, and other stakeholders to deliver a world-class closing experience.
Key Responsibilities
Team Leadership & Management
Supervise, coach, and mentor a team of Transaction Coordinators, providing ongoing performance feedback and professional development.
Manage workload distribution and ensure proper staffing to meet volume demands.
Conduct regular tea
Train new hires on systems, checklists, CRM workflows, and brokerage policies.
Transaction Oversight
Monitor all real estate transactions from contract to close to ensure deadlines, contingencies, and compliance requirements are met.
Review purchase agreements, disclosures, amendments, and closing packages for accuracy and completeness.
Serve as the final escalation point for complex or high-risk transactions.
Ensure all parties are informed, supported, and updated throughout the process.
Compliance & Documentation
Maintain full compliance with brokerage, state, and MLS regulations.
Audit files before closing to ensure all documentation is properly stored and signed.
Communicate regularly with legal, broker-of-record, and compliance departments as needed.
Systems, Process & Improvement
Maintain and optimize transaction systems, CRM pipelines, checklists, and digital file infrastructures (Dotloop, Skyslope, Command, Follow Up Boss, etc.).
Implement process improvements to increase efficiency, accuracy, and client satisfaction.
Track and analyze transaction metrics (days to close, fallout rates, TC productivity, etc.) to inform leadership decisions.
Client & Partner Experience
Foster positive relationships with agents, clients, lenders, title/escrow, attorneys, and inspectors.
Resolve escalated client service issues with professionalism and urgency.
Ensure the transaction team provides timely, proactive communication and a consistent, polished experience.
Qualifications
3–5+ years real estate transaction management experience, preferably in a high-volume environment.
Prior leadership or supervisory experience strongly preferred.
Strong knowledge of real estate contracts, MLS rules, timelines, disclosures, and closing procedures.
Exceptional communication, time-management, and problem-solving skills.
Proficiency with real estate software (e.g., Skyslope, Dotloop, DocuSign, Brokermint, Command, Follow Up Boss, KVCore, Salesforce).
Ability to work in a deadline-driven, fast-paced environment with extreme attention to detail.
