About Us:

IX Media is a growing e-commerce email and SMS marketing agency. We manage the full email lifecycle for DTC brands — strategy, copywriting, design, Klaviyo management, and performance optimization. We work with brands across the US, UK, and internationally. We’re looking for an operations-focused tea ---------- mber who will become the backbone of our fulfillment process.

The Role:
You will own the operational side of our email marketing delivery. This means you’re the person who makes sure every email goes out on time, looks perfect, and meets our quality standards before any client ever sees it. You’ll work directly with our founder (strategy & creative direction) and our design team (execution).

This is NOT a creative role. You are not writing copy or designing emails. You are the person who makes sure everything that’s been created meets our standards, gets uploaded correctly, goes to clients on time, and nothing falls through the cracks.

What You’ll Do Every Day:

• Klaviyo Campaign Management: Upload finalized email campaigns and flows into Klaviyo. Set up segments, scheduling, and A/B tests. Ensure every campaign is correctly configured before it goes live.

• Quality Assurance: Review every email design against our design standards checklist. Check for alignment issues, broken elements, incorrect copy, brand consistency, mobile responsiveness, and link accuracy. Flag any issues to the design team and verify they’re fixed.

• Project Tracking: Manage our project board (Notion/ClickUp). Track which emails are in progress, which are pending review, which are approved. Follow up with designers on deadlines. Make sure nothing is late.

• Designer Coordination: Assign emails to designers based on capacity. Track their progress daily. Verify that revision comments have been properly addressed before marking an email as complete.

• Client Communication: Send clients status updates (e.g., “Your April emails are ready for review”). Collect their feedback and organize it into clear action items. Handle routine operational questions. You are the day-to-day point of contact for client operations.

• Figma Review Management: Check that all Figma comments are resolved. Ensure designs match the approved copy. Confirm all revisions are applied before an email moves to client review.

• Reporting Support: Pull basic performance data from Klaviyo (open rates, click rates, revenue). Organize it for the founder’s monthly strategy reviews.

Hard Requirements (Non-Negotiable — Do Not Apply Without These):

If you do not meet ALL of the following, please do not apply. We will not make exceptions.

• Minimum 1 year of hands-on Klaviyo experience. You must have personally built campaigns, set up flows (welcome, abandoned cart, post-purchase, winback, browse abandonment at minimum), created segments, and scheduled sends. “I’ve seen Klaviyo” is not experience. We will ask you to screen-share and walk us through a Klaviyo account.

• Must have worked with at least 5 e-commerce brands. We need someone who understands e-commerce email marketing — not SaaS, not B2B, not newsletters. E-commerce. DTC. Shopify. You need to know what a product launch flow looks like, what a post-purchase sequence does, and why segmentation matters for revenue.

• Fluent English — written AND spoken. You will be the daily point of contact for US and UK-based clients via Slack. Your messages will represent our agency. We need someone who writes clean, professional, natural-sounding English. Not “good for a non-native speaker.” Fluent. Period. If you’re not confident writing a professional client update without a template, this is not the role for you.

• Must be available during US business hours (9 AM – 5 PM EST) with at least 6 hours of overlap daily. Our clients are in the US and UK. They message during their business hours. You need to be online when they are.

• Experience with Figma. You don’t need to design, but you need to navigate Figma confidently — view designs, check comments, verify revisions, and know your way around the interface without hand-holding.

• Experience with a project management tool (Notion, ClickUp, Asana, Monday, or similar). You’ll be managing a live project board tracking 50–100+ emails across multiple brands. If you haven’t used a PM tool professionally, you will drown.

Strongly Preferred (Will Move You to the Top of the List)

• Previous agency experience. You’ve worked at or with a marketing agency before and understand the pace, the multi-client juggle, and the pressure of client-facing deadlines.

• Experience managing designers or freelancers. Even informally — assigning work, tracking deadlines, following up. This role involves coordinating a team of 3–4 designers.

• Klaviyo certification or advanced experience. You’ve done advanced segmentation, conditional splits, custom properties, or API integrations.

• HTML email knowledge. You can spot a broken table, a missing alt tag, or a rendering issue without needing someone to point it out.

• Experience with Slack-based client communication. You know how to keep a shared channel professional, organized, and responsive.

Compensation & Benefits:

Starting Pay: $900–$1,300/month depending on experience level. We are transparent about pay and we pay on time, every time, no exceptions.

Here’s what the growth looks like:

• Month 1–3 (Onboarding & Proving Ground): $900–$1,100/month. You’re learning our systems, our clients, and our standards. By end of Month 3, you should be running day-to-day operations with minimal oversight.

• Month 4–6 (Performance Review): If you’re meeting standards and owning your domain, you get a raise to $1,200–$1,400/month. This is tied to clear metrics: on-time delivery rate, QA accuracy, client satisfaction, and zero missed sends.

• Month 7–12 (Senior Ops / Account Manager): $1,400–$1,800/month. At this stage you’re managing all client operations independently. The founder focuses purely on strategy and growth. You’re the person running the machine.

• Year 2+ (Head of Operations): $1,800–$2,500+/month. As we scale to $30K–$50K+/month in revenue, you grow with us. You’ll manage a team of VAs and coordinators under you. You’ll have direct input on hiring, processes, and client strategy. This is a leadership role, not just a job.

• You cannot work during US business hours (9 AM–5 PM EST). If your timezone makes this impossible or you’re only available for 3–4 hours of overlap, this won’t work.

• You need to be micromanaged. We will train you, but after training, you need to own your responsibilities and execute without being chased. If you need someone checking on you every hour, this is not the right fit.

• QA Walkthrough (text): You’re doing a final quality check on a promotional email design before sending it to a client for approval. Walk us through your exact process, step by step, in order. What are the first 10 things you check? Be specific — “check the design” is not an answer. “Verify all CTA button links point to the correct product page and open in a new tab” is.

• Loom Video (2–4 minutes max): Record a short Loom video introducing yourself. In the video, answer these three questions: (1) Why are you the right person for this role? Be specific about your experience, not generic. (2) Describe a time you caught a mistake that would have gone to a client or customer. What was it, how did you find it, and what did you do? (3) What does “owning your role” mean to you? — We’re not looking for a polished production. We want to hear you think on your feet and communicate clearly. This is how we assess your spoken English, your confidence, and your ability to articulate.

• Availability (text): Your timezone, your exact available working hours in EST, and confirmation that you can commit to 40 hours/week with no other active full-time clients.

• References or Proof of Past Work (text/links): Provide at least ONE of the following: (A) A LinkedIn profile showing relevant experience, (B) A reference from a past employer or client (name + contact info or LinkedIn), (C) A portfolio or document showing email marketing work you’ve done, (D) A Klaviyo partner profile or certification.
