Position Overview
We’re looking for a highly dependable Executive Assistant to manage daily operations, call and qualify new leads, coordinate meetings, and maintain reporting and documentation in Google Sheets.
This is a client-facing, full-time position that demands precision, professionalism, and proactive ownership.
*Key Responsibilities
Executive & Administrative Support
Manage the Founder’s calendar — confirm and coordinate meetings accurately.
Prepare meeting action trackers and ensure follow-ups are completed.
Track and update project deliverables in Google Sheets and firm dashboards.
Manage
Provide concise daily summaries of key updates and pending actions.
* Lead Management & Appointment Setting
Call new leads from
Follow call scripts professionally while sounding personable and confident.
Update notes, call outcomes, and lead dispositions in Google Sheets.
Follow up with no-shows and unresponsive leads consistently — no drop-offs.
Keep the appointment tracker current (scheduled, completed, rescheduled, no-shows).
* Marketing & Reporting Support
Monitor the AI calling system (outbound to leads + inbound quality) and summarize any areas for development or improvement.
Prepare daily Call Summary Reports and weekly lead/ad performance summaries.
Track campaign and source details (ad name, campaign, platform) in Google Sheets and highlight trends.
* Operations & Documentation
Create and update SOPs (Standard Operating Procedures) using Loom videos and Google Docs.
Maintain KPI trackers, weekly reports, and process logs for accountability and performance.
Document recurring workflows clearly for training and quality control.
* Client & Team Coordination
Keep meeting action items current in shared trackers.
Communicate with clients and teammates via Slack and
Handle light research/support items (vendor lookups, contact follow-ups).
Ensure all updates are completed and reported before end of shift.

Double-check everything before submitting — spelling, dates, numbers, and formulas.
Reconcile daily reports against source data for consistency.
If unsure, ask early — never guess or leave placeholders.
Errors that could have been caught by a simple review are unacceptable.
*Qualifications
3+ years as an EA or VA (U.S. company preferred).
Lead calling, appointment setting, and Google Sheets reporting experience.
Excellent spoken and written English (client-facing).
Proficient with Google Workspace, Slack, Loom, Go High Level
Reliable power and 30 Mbps+ internet with backup.
Fully available and responsive during U.S. hours.
