About Us
We’re a fast-growing digital marketing team helping car dealerships and automotive businesses win in today’s evolving search landscape. We specialize in Google Ads, Meta Ads, and SEO. As we scale, we’re hiring a detail-oriented Account Coordinator / Executive Assistant to be our operational backbone—keeping inboxes organized, meetings on track, and client communications crisp.
The Role
You’ll support our leadership and account managers by owning day-to-day coordination,
You’ll Be Working On:
- Inbox & Calendar Management – Triage and draft replies, route messages to the right owner, schedule meetings across time zones, and protect focus time.
- Client Communications – Send follow-ups, coordinate meeting agendas, share recaps/action items, and ensure a friendly, professional tone.
- Meeting Support – Prepare agendas, take clear notes, log decisions, and assign tasks with deadlines; circulate summaries after calls.
- Project Coordination – Track deliverables, update task boards (e.g., Notion), follow up on blockers, and make sure nothing slips.
- Documentation & SOPs – Maintain folders, naming conventions, SOPs, and checklists so the team can move fast and stay aligned.
- Administrative Tasks – File management, form submissions, vendor coordination, light research, CRM/contact updates, and invoice support.
What We’re Looking For
- Clear, confident communicator (written and verbal); comfortable drafting
- Proactive organizer who anticipates needs, follows through, and closes loops without hand-holding.
- Experience in coordination/admin or client services (agency or startup experience is a plus).
- Strong command of Google Workspace (Gmail, Docs, Sheets, Slides), Zoom/Google Meet, and Slack.
- High attention to detail—you proofread your own work and spot gaps before others do.
Nice to Have:
- Background in automotive or e-commerce marketing.
- Familiarity with Google Ads and SEO
- Light slide design skills for client updates (Slides/PowerPoint/Canva).
