JOB OVERVIEW

We are a fast moving AI and marketing software company that needs a detail first operator to build order from chaos. You will own our internal systems in Notion, Linear, and Slack, create simple playbooks, and ship automations that reduce manual work. If you love cleaning messy workflows, documenting the source of truth, and closing loops across teams, this will be a great fit.

What you will do
• Run daily ops in Notion, Linear, and Slack; keep tasks, sprints, and docs current
• Build and maintain SOPs that are clear, short, and searchable
• Set up and monitor automations in n8n and Zapier; remove busywork across tools
• Track team KPIs and publish a weekly scorecard in Notion
• Create project dashboards and status updates; chase blockers until resolved
• Own onboarding checklists for new hires and contractors
• Calendar and meeting support; take action notes and ensure follow through
• Light data hygiene in Google Sheets; exports from tools such as Stripe or PostHog
• Vendor and tool admin; manage access, renewals, and permissions

Key outcomes and KPIs
• All tasks and projects are current and tagged by owner and due date
• Weekly ops scorecard published every Monday before 10:00 UK time
• At least three meaningful automations shipped per month that save real hours
• Cycle time from task created to task done reduced by 25 percent in three months
• Zero missed communications for critical threads in Slack and email
• SOP library reaches coverage of the top 20 recurring workflows in 60 days

Skills and experience
• Strong Notion workspace design and database relations
• Linear project setup and sprint hygiene
• Slack channel structure and notification rules
• n8n required or a similar tool with a willingness to move into n8n
• Zapier, Google Workspace, basic spreadsheet formulas
• Excellent written English; crisp status updates and documentation
• Proactive, persistent, calm under pressure; loves closing loops
