AI Automation & Operations Platform Engineer/Developer

About the Project
We are looking to build an AI-driven operations platform that references an internal database (to be designed and built) and provides a frontend for users. The platform will handle operational workflows such as record management, follow-ups, document generation, meeting action tracking, and dashboards.

Role & Responsibility
This is an end-to-end ownership role. You will be responsible for the entire technical delivery — from designing the architecture, to implementing the database, building the frontend, configuring automations, integrating AI, and delivering the working platform.

Scope of Work

Architecture: Propose and finalize the technical stack (we are open to recommendations).
Database: Design and build an internal relational database (entities, tasks, docs, actions).
Frontend: Build a user-facing interface (pipeline view, record pages, dashboards).
Automation: Implement operational workflows (email cadences, SLA/expiry alerts, follow-ups).
Docs: Integrate document generation and storage (contracts, dossiers).
Meetings: Ingest transcripts and extract action items via AI.
AI: Integrate Gemini/OpenAI for enrichment, email drafting, action extraction, AI agent (intake, search, scheduler)
Delivery: Ensure platform stability, documentation, and handover.

What We Expect at Each Milestone

Milestone 1: Proof of Concept (POC) — due Sept 23, 2025
Deliver a working POC that demonstrates the core flow is possible (internal DB + frontend + 1–2 automations working).
Provide a technical evaluation:
Cost of ownership (infrastructure + tools).
Effort estimates (dev time, complexity).
Recommended stack and architecture.
Roadmap & timeline for full delivery.
Payment: $1,000.

Milestone 2: Pilot MVP Release
Deliver a functional pilot platform with MVP described features in place (Automation: email follow up sequence, doc creation, meeting action items action items, dashboards).
Payment range: $500- $1,000 depending on speed (ideal deadline October 10)

Milestone 3: Full Platform Wrap-Up
Final refinements, stabilization, documentation, and handover.
AI agents built in. Data migrated into DB. Multi level acces to platform users
Target: full platform delivered before November.
Payment range: $500- $1,000 depending on speed (ideal deadline October 24)

Total Budget: $3,000 USD (3 milestones).

Ideal Candidate

Has owned end-to-end delivery of similar platforms (not just a feature, but the whole system).
Experienced in CRM-style / operational platform builds.
Strong in automation/orchestration (n8n, Make, or custom workflows).
Skilled in database design (Supabase, Firebase, Hasura, or similar).
Proficient in frontend prototyping (Lovable, Retool, Bubble, React/Next.js).
Comfortable with AI integration (Gemini, OpenAI).
Ability to meet during EST hours (for project discussion, status, feedback)
Bonus: familiarity with Gmail/Calendar, contract/document automation tools, Fathom, Proposify
