About Us:
We are a New York-based organization focused on providing exceptional educational programs for parents and children. We are seeking a skilled Virtual Assistant (VA) to provide Verbal Customer Suppourt and manage enrollment for our Afterschool and Daycare programs while enhancing our lead conversion processes and retention.

Job Summary:
We are looking for a dynamic VA with strong emotional intelligence and a background in education or customer service to support our enrollment efforts. This role will involve managing our CRM systems, Intellikids, Childcare Automations as well as our parental management apps ProCare, and Playground , ensuring documentation standards are met, and fostering positive relationships with parents.

Key Responsibilities:
- Actively manage the enrollment process for Afterschool and Daycare programs, ensuring all necessary documentation is collected and maintained according to company policy.
- Ensure that parents understand the documents they sign, providing clear explanations and answering any questions they may have.
- Manage Emails
- Create Sop's as needed
- Communicate enrollment policies and expectations to parents, ensuring clarity and understanding.
- Provide new parents with handbooks that outline policies, procedures, and important information about the programs.
- Conduct new parent orientation sessions to familiarize families with the enrollment process and program expectations.
- Utilize CRM, Intellikids, and Childcare Buisness growth and the Playground and ProCare parental management app to track leads, manage enrollment workflows, and support parental engagement effectively.
- Update parents on playground activities and safety measures regularly, ensuring they are informed about their children’s environment.
- Make and answer calls to and from parents, guiding them through the enrollment process and addressing any concerns.
- Conduct follow-up communications with parents to nurture relationships and enhance retention.
- Collaborate with directors and supervisors to schedule tours and communicate enrollment status, including coordinating start dates for new children.
- Use Canva to create closing reminder memos and distribute them via the parental engagement app, including information on late fees.
- Assist with pulling resumes and scheduling interviews for potential candidates.
- Manage Google Calendar to schedule appointments, tours, and important deadlines for enrollment-related activities.
- Perform administrative tasks as required to support the enrollment process and overall operations.
- Create engaging materials for communication with parents and promotional activities using Canva.
- Maintain detailed records and documentation to ensure compliance with company standards and policies.
- Regularly analyze and report on key performance indicators (KPIs) related to enrollment and parent retention.
- Build and maintain positive relationships with parents to enhance retention and engagement through effective communication and rapport-building.
- Apply knowledge of sales techniques to effectively engage with potential clients and increase enrollment.

Qualifications:
- Speak fluent English, Spanish is a plus.
- Knowledgeable in CRM
-Google Calendar, and Canva.
- Proven experience in education, childcare, or customer service, particularly with parents.
- Strong organizational skills and attention to detail to ensure all enrollment documentation is accurate and complete.
- Excellent verbal and written communication skills in both English and Spanish to facilitate effective interactions with parents and staff.
- Knowledge of sales techniques and experience in a sales-oriented role is a plus.
- Knowledgeable in Microsoft Word and Google Suites and Creating Spread sheets.
- Emotional intelligence and empathy when dealing with parents and children.
- Proactive approach to building rapport and maintaining relationships with families.
