About Us:
We operate multiple growing companies in the multiple industries. As we continue to expand, we are seeking a highly organized, tech-savvy assistant who can work remotely to help us streamline operations, manage day to day administrative tasks, and support long term growth.
Key Responsibilities:
• Handle phone calls for Two of the businesses in a professional and friendly manner.
• Assist with financial management: upload receipts into QuickBooks, support payroll prep, billing, invoicing, collections, and eventually help with P&L reports and inventory tracking.
• Build and maintain driver schedules to optimize service routes.
• Track which units are on which job sites and schedule servicing.
• Update drivers daily with assignments and directions.
• Use scheduling software or CRM tools to avoid overlaps or missed cleanings.
• Support marketing tasks: create simple flyers/brochures, post updates on social media,
• Track equipment: monitor units in the yard, out on jobs, or in need of repair.
• Generate utilization and profitability reports by job site.
• Research upcoming events/construction projects for potential business opportunities.
• Assist with preparing bids for contracts.
• Respond to inquiries from potential clients
• Maintain strong relationships with existing clients by sending thank you, reminders, and updates.
Preferred Skills & Qualities:
• Strong organizational skills and attention to detail.
• Proficiency with QuickBooks, Microsoft Office/Google Suite, and CRM or scheduling software.
