Overview
We are seeking a reliable and detail-oriented Virtual Assistant to support our sales team by ensuring rapid responses to inbound leads, coordinating timely follow-ups, and maintaining accurate CRM records. In addition, this role will provide sales meeting preparation support, including helping to assemble and polish opportunity decks. The ideal candidate is organized, proactive, and able to work across both administrative and light creative tasks to help accelerate our sales process.
Key Responsibilities
1. Lead Response & Follow-up:
*Monitor new inbound leads and ensure initial responses are sent within agreed SLAs (e.g., 30 minutes during business hours).
*Track and coordinate scheduled follow-ups with existing prospects.
*Escalate hot leads to senior sales tea
2. CRM Management (HubSpot):
*Update and maintain all contact, company, and deal information in HubSpot.
*Log all lead interactions, activities, and sales communications daily.
*Generate basic activity reports and flag overdue follow-ups.
3. Sales Meeting Preparation:
*Assist in preparing opportunity decks and presentations for upcoming sales meetings.
*Gather key client information, case studies, and relevant metrics to include in decks.
*Ensure decks are formatted professionally, on-brand, and tailored to each client/prospect.
4. Reporting & Administration:
*Maintain a daily log of all sales
*Submit End-of-Day (EOD) reports summarizing activity, follow-up status, and lead pipeline updates.
*Support ad hoc sales and marketing tasks as required.
Requirements
*Experience as a Virtual Assistant, Sales Assistant, or similar role.
*Familiarity with HubSpot CRM (or similar CRM tools).
*Strong written communication skills in English.
*Proficient in Google Slides / PowerPoint for preparing decks.
*Excellent organisational and time-management skills.
*Dependable, detail-oriented, and proactive.
*Availability to align with AEST (Sydney/Melbourne) business hours.
Preferred Qualifications
*Previous experience preparing client-facing decks or proposals.
*Background in sales support, customer success, or marketing.
*Understanding of digital marketing, SEO, or SaaS is a plus.
Performance Indicators (KPIs)
- Lead response time: Average <30 minutes.
- Follow-up compliance: 100% of tasks completed on schedule.
- CRM accuracy: No missing or outdated records.
- Deck preparation: All required decks ready ahead of meetings and meeting quality standards.
- EOD reports: Submitted daily and consistently.
