We’re a small but mighty team dedicated to excellence, alignment, and transformation—and we’re growing! This role will play a critical part in ensuring our projects run smoothly, clients feel supported, and operations are optimized as we scale.
ABOUT THIS ROLE
This is a position for someone who thrives in a fast-paced, remote environment and enjoys both client-facing communication and behind-the-scenes organization. You’ll be responsible for managing client onboarding, supporting project flow inside ClickUp, communicating updates, and assisting the founder directly with task delegation, scheduling, and follow-through.
For the right person, this role can grow into a Director of Operations or COO position over time.
RESPONSIBILITIES
1 - Client Success & Communication
- Use templates to draft and send client agreements and welcome
- Set up onboarding materials for new clients, including Google Drive folders and pre-work docs.
- Track client deliverables, send reminders via Slack, and ensure timelines stay on track.
- Keep a running list of client questions, requests, and feedback—and make sure they are acknowledged and resolved.
- Communicate updates to clients about project status clearly and proactively.
2 - Project Management & ClickUp Coordination
- Build new client project plans in ClickUp using existing templates.
- Set up weekly team tasks in ClickUp based on each project’s current phase.
- Attend daily & weekly team huddles to ensure alignment.
- Add task descriptions, links, and context to set each tea
- Update due dates and identify bottlenecks in project timelines before they become delays.
- Schedule time on Ashley’s calendar for reviews or items she needs to complete.
- Reference client call recordings and Ashley’s meetings to assign or update tasks in ClickUp and ensure follow-through.
- Help identify and create SOPs (Standard Operating Procedures) to improve systems and grow our internal process library.
3 - Founder Support (Executive Assistant)
- Track Ashley’s meetings and follow-ups.
- Ensure promises made to clients are followed through on inside the project management system.
- Provide support in reviewing documents, preparing agendas, and improving internal workflows.

WORK HOURS
Full-time role: Monday–Friday, 7:00 AM to 3:00 PM CST
Must be available for meetings and Slack communication during these hours.
