We are looking for a highly organised Virtual Assistant & Project Coordinator with experience in the NDIS industry (Australia), DropShip, eCommerce, Realestate Agency expereince. This role will provide personal executive support, manage communications, coordinate appointments, oversee team tasks, and assist in social media management.
The ideal candidate is proactive, detail-oriented, and capable of handling both administrative responsibilities and project coordination, ensuring smooth operations across the business.
Key Responsibilities
1. Executive & Personal Assistance
- Manage and respond to
- Schedule and coordinate appointments, meetings, and calls.
- Conduct follow-ups with clients, providers, and stakeholders.
- Draft and send professional correspondence, ensuring timely communication.
2. NDIS-Specific Administration
- Liaise with NDIS participants, coordinators, and service providers.
- Assist in preparing documents, service agreements, and reports.
- Maintain compliance with NDIS guidelines and handle confidential information with discretion.
3. Project Coordination & Team Management
- Coordinate projects, tasks, and deliverables across multiple teams.
- Use project management tools (e.g., Asana, Trello, ClickUp,
- Assign and monitor tasks, ensuring deadlines are met.
- Facilitate team communication and follow-ups to maintain accountability.
- Prepare project updates and progress reports for management.
4. Social Media & Online Presence
- Manage and schedule posts on social media platforms.
- Track engagement and provide basic performance updates.
- Respond to inquiries/messages professionally and promptly.
5. General Administration & Support
- Organise and maintain digital files and records.
- Support the manager with personal admin tasks as required.
- Provide ad hoc research and assistance with operational needs.
Required Skills & Qualifications
- Proven experience as a VA, Executive Assistant, or Project Coordinator.
- Previous experience in the NDIS industry (essential or highly desirable).
- Strong organisational skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Confident handling
- Familiarity with project management tools (Asana, Trello, ClickUp,
- Proficiency in Google Workspace / Microsoft Office.
- Experience managing remote teams and task workflows.
- Ability to work independently and proactively with minimal supervision.
- High level of professionalism and discretion.
Nice to Have
- Knowledge of NDIS compliance and service agreements.
- Experience with social media scheduling tools (Buffer, Hootsuite, Meta Business Suite).
- Exposure to client relationship management (CRM) tools.
- Basic reporting and dashboard preparation skills.
