We’re looking for a GPT-fluent, Zapier-savvy builder to help us systematize internal workflows and multiply the output of our small but fast-moving team. You’ll work directly with the founder to design and build AI agents, create automation systems, and integrate these tools across key areas like operations, sales, inventory, research, and strategic planning.

Role Summary
You will serve as the architect and operator of our internal AI + automation layer. You’ll build ChatGPT agents (via Custom GPTs + prompt workflows), connect them to tools like Notion, Google Sheets, Excel and ClickUp and design automations using Zapier or Make that turn inputs into decisions and outputs. You’ll also be responsible for testing, improving, and documenting how these tools are used across the company.

Key Responsibilities
AI Agent & Prompt Development
• Build, structure, and maintain internal GPT Agents for defined business functions (Retail Scout, Inventory Agent, Expansion Assistant, etc.)
• Write, test, and iterate prompt workflows and structured GPT prompts to drive business outputs
• Develop internal dashboards or command centers to make AI tools usable across the team
• Troubleshoot and refine AI agent performance, hallucination rates, and prompt logic
Automation & Tool Building
• Assess team workflows and identify automation opportunities
• Build tools, scripts, or AI-powered processes that save time and improve accuracy
• Ensure solutions are simple, usable, and integrated into existing systems
AI & Data Applications
• Leverage AI tools (ChatGPT, APIs, mapping/scoring systems) to support decision-making
• Prototype solutions like automated location scoring, reporting assistants, or data scrapers
• Stay ahead of emerging AI tools and advise the team on adoption
Systems Integration
• Build automation workflows using Zapier or Make that connect GPTs to Notion, Sheets, Forms, etc.
• Connect tools across GVSS (Google Sheets, ClickUp, Notion, Zapier, APIs)
• Ensure data flows smoothly between systems
• Document and train staff on how to use new tools effectively
Technical Guidance
• Evaluate feasibility of automation requests from the team
• Suggest smarter, simpler solutions when ideas are overcomplicated
• Be the technical advisor for scaling processes with efficiency

Ideal Candidate Traits
• Expert GPT user (Custom GPTs, Advanced Data Analysis, Prompt Engineering)
• Proven experience with automation tools (Zapier, Make, APIs, Google Apps Script, etc.)
• Hands-on skills with AI platforms (ChatGPT, APIs, embeddings, etc.)
• Thinks in systems and workflows, not just tasks
• Problem solver who can translate business needs into technical solutions
• Strong documentation and communication skills
• Curious and innovative — always looking for better, faster ways to work
• Obsessed with finding ways to use AI and automation to remove bottlenecks and save time
• Great at translating vague goals into structured logic and flows
• Bonus: Comfortable in Notion, Google Sheets (formulas), and project management tools (ClickUp, Trello)

Requirements
• 2+ years experience building with GPTs, AI workflows, or automation tools
• Clear and concise written communication in English
• Deep understanding of prompt engineering, logic trees, and role-based GPT structuring
• Self-starter who thrives on solving undefined problems and experimenting
• Portfolio of GPTs, workflows, or Zapier automations is a major plus

• Part-time to full-time based on skills, fit and impact
• Must be available for 1–2 weekly strategy calls (ET time zone)
