We are seeking a highly motivated, organized, and detail-oriented individual to join our team as a Procurement and Sales Assistant. In this role, you will support both our procurement and sales functions by helping manage supplier communication, quotations, order coordination, lead follow-up, and day-to-day administrative support for the management team.
This position is ideal for someone who is proactive, resourceful, and confident communicating with both suppliers and potential customers. You must be able to work effectively in a remote environment, stay highly organized, and contribute to both cost-efficient procurement and sales growth.
Your primary responsibilities will include handling supplier quotations, coordinating shipping and production updates, supporting sales outreach, following up with leads, assisting with customer quotations, and ensuring smooth communication with our management team.

Procurement Responsibilities
Procurement Strategy
Assist in implementing procurement strategies aligned with company goals, including sourcing, cost-saving initiatives, and supplier evaluation.
Research, evaluate, and communicate with suppliers to identify the best options based on price, quality, and lead time.
Support management in comparing vendor quotations and making purchasing decisions.
Purchase Management
Assist in the procurement of goods and services, ensuring timely and cost-effective purchases.
Prepare, review, and organize purchase orders, supplier quotations, and procurement requests.
Monitor order progress and follow up with suppliers on production timelines and delivery schedules.
Cost Control
Monitor procurement expenses and identify opportunities for cost savings.
Help ensure competitive pricing without compromising quality or service.
Maintain accurate costing records for management review.
Supplier Management
Communicate regularly with vendors regarding quotations, production, timelines, shipping, and issue resolution.
Build and maintain professional supplier relationships.
Coordinate supplier communication related to production, shipping, and logistics.
Quality Assurance
Help ensure purchased items meet required quality standards.
Coordinate with suppliers to resolve quality-related concerns, damages, delays, or discrepancies.
Escalate issues promptly to management when needed.
Documentation and Reporting
Create work dockets and maintain organized procurement records.
Track invoices, purchase details, shipping updates, and supplier communications.
Prepare daily, weekly, and monthly executive summary reports.
Sales Assistant Responsibilities
Sales Support
Assist the sales team with preparing quotations, proposals, and customer follow-up communications.
Support inbound and outbound sales activity by helping move leads through the pipeline efficiently.
Coordinate with management to ensure sales opportunities are followed up on in a timely manner.
Help prepare information, pricing, and product details for customer inquiries.
Lead Generation and Prospecting
Research target markets, industries, and potential customers to identify qualified leads.
Build and maintain organized lead lists for outreach campaigns.
Support prospecting efforts through
Outbound Outreach
Initiate contact with potential clients through calls and
Tailor outreach messages based on industry, packaging type, and customer needs.
Represent the company professionally and communicate our value clearly.
Customer Communication
Respond to inquiries from prospective customers promptly and professionally.
Listen carefully to customer requirements and communicate relevant information to the sales or management team.
Follow up with leads and customers to maintain
Quote and Order Coordination
Assist with preparing and sending customer quotations based on management direction.
Follow up on quotations and help track open opportunities.
Coordinate internally between sales, procurement, and management to support smooth execution after orders are confirmed.
CRM and Pipeline Management
Keep lead, customer, quotation, and follow-up records organized and up to date.
Track sales activities, quote status, and customer interactions accurately.
Help management maintain visibility over the sales pipeline and pending opportunities.
Remote Collaboration
Collaborate effectively with management and tea
Support cross-functional coordination between procurement, sales, shipping, and operations.
Listen carefully, interpret instructions accurately, and execute tasks efficiently.
Qualifications
Strong understanding of sourcing, quotations, and vendor communication for consumable products.
Strong knowledge of packaging products, especially flexible packaging and food and beverage packaging, is preferred.
Experience in procurement, sales support, lead generation, customer service, or administrative support.
Experience with cold calling,
Executive assistant experience is an asset.
Proficiency in Excel, Google Workspace, and Microsoft Office.
Strong written and verbal English communication skills.
Strong organizational skills with a high level of attention to detail.
Self-motivated, dependable, and able to work independently in a remote environment.
Able to manage multiple priorities and follow through consistently.
Working Hours
Working hours are Monday through Friday, 12:00 PM to 8:00 PM PST, excluding National holidays, with an unpaid one-hour break.
National holidays will be determined collaboratively between tea
Compensation and Benefits
Payment is made twice a month via WISE.
