Administrative & AI Workflow Assistant (Full-Time)
$400/month — Monday–Friday, 9 AM–6 PM CST (U.S. Time)
About Us
We are a healthcare and medspa organization that provides weight loss, medical aesthetics, and telemedicine services. Our operations involve high levels of coordination between patients, providers, vendors, and regulatory agencies. We use AI tools and advanced CRM systems to stay efficient — but we still need a dedicated, detail-oriented human to ensure everything gets done with accuracy, responsibility, and follow-through.
Role Overview
This is a high-responsibility administrative role. You will be the person who ensures paperwork is completed, documents are filed, licenses are renewed, applications are submitted, and follow-ups are done until completion. You will need to track multiple ongoing tasks, make sure deadlines are met, and report progress regularly.
This is not a role for someone who waits for instructions — we need someone proactive, thorough, and committed to getting things done right the first time.
Key Responsibilities
Administrative & Compliance
Handle all paperwork and document processing accurately and on time. Experience with medical billing, US hospital administrative insurance and medical billing. Hippa experience. Dealing with customers, patients, reordering, knowledge in digital marketing.
Renew medical licenses, permits, and certifications and other administrative needs — track expiration dates, prepare renewal applications, and confirm completion.
Fill out and submit applications for vendors, partnerships, and compliance requirements.
Follow up with agencies, companies, and vendors until the task is fully complete.
Maintain organized digital filing systems for easy access to all important documents.
Task Management & Reporting
Manage task lists in
Track progress, set reminders, and ensure nothing falls through the cracks.
Provide daily and weekly reports to management on task status and deadlines.
Identify potential delays and take action early to keep projects on schedule.
Communication & Coordination
Communicate with vendors, agencies, and internal staff to obtain missing information and ensure follow-up.
Respond to
Work with AI tools and CRM systems to speed up repetitive tasks while still ensuring human quality control.
Requirements
Bachelor’s degree in IT, Business Administration, or related field (preferred).
2+ years of administrative experience, preferably in healthcare, legal, compliance, or corporate environments.
Exceptional organizational skills — able to manage multiple tasks with strict deadlines.
Proactive and thorough — always follows through until the job is done.
High attention to detail and commitment to quality work.
Strong work ethic, responsibility, and integrity — treats company resources and information with care and confidentiality.
Proficient with productivity tools: Google Workspace, Microsoft Office, CRM systems (GoHighLevel, Salesforce, or similar). Familiarity with EHR systems, Advanced MD, Patient now, Mindbody.
Comfortable learning new software quickly (Notion,

Salary: $400 USD/month (full-time)
