Job Overview
We are a fast-paced and growing real estate investment company seeking a highly organized and detail-oriented Administrative Assistant to support our acquisitions and operations team. This role is best suited for someone with prior experience in real estate data management, particularly in pulling, cleaning, and organizing property lists, skip tracing, ownership research, and CRM record management.

The ideal candidate will play a key part in ensuring our lead generation, property acquisition, and contract processes are efficient, accurate, and up-to-date.
Key Responsibilities
List & Data Management
Pull property data lists from sources such as PropStream, PropertyRadar, county records, or similar platforms.
Perform thorough data cleaning to ensure accuracy and remove duplicates or irrelevant entries.
Organize and categorize lists for various lead types (pre-foreclosures, vacant properties, absentee owners, etc.).
Skip Tracing & Research
Conduct skip tracing using online tools and platforms to locate accurate contact information for property owners.
Research and verify property ownership, mortgage status, and lien information using public records and real estate databases.
MLS, Zillow, and
Use MLS, Zillow, and
Identify value-add properties and distressed assets with upside potential through thorough market research.
Contract & Deal Preparation
Assist in the preparation of sales contracts, letters of intent (LOIs), and offer agreements.
Coordinate with the acquisitions team to ensure all documents are completed, accurate, and delivered on time.
Realtor & Partner Communication
Build and maintain relationships with real estate agents, brokers, and partners to source off-market and on-market deals.
Follow up with realtor contacts regularly to uncover new opportunities and stay informed about upcoming listings.
CRM Management
Enter and maintain accurate lead records in the CRM (e.g., Podio, REsimpli, Salesforce).
Ensure all lead statuses, tags, notes, and tasks are consistently updated.
Assist in the automation and documentation of workflows to streamline follow-up processes.
Administrative Support
Coordinate with the acquisitions team to prioritize leads and property outreach.
Assist with document preparation, filing, and uploading relevant records into internal systems.
Provide general administrative support to help maintain operational efficiency.
Qualifications
Experience: Minimum 1 year in a real estate investing, wholesaling, or real estate administrative support role.
MLS/Zillow Experience: Proven experience using MLS, Zillow, and
Contracts & Offers: Familiarity with drafting sales contracts, letters of intent, and offer agreements.
Communication: Strong interpersonal skills and the ability to build and manage relationships with realtors and external partners.
Market Analysis: Ability to conduct comparative market analysis and identify value-add opportunities.
Technical Skills: Proficient in Excel/Google Sheets, CRM platforms, and data tools such as PropStream, Skip Genie, etc.
Self-Starter: Capable of working independently, managing multiple priorities, and meeting deadlines.
Detail-Oriented: Exceptional accuracy in data handling and record management.
Professionalism: Able to handle sensitive information with confidentiality and discretion.
Preferred (but not required)
Familiarity with real estate investing strategies (e.g., wholesaling, fix & flip, buy-and-hold).
Experience using Zapier, REsimpli, or other automation tools.
Understanding of lead scoring and funnel management.
