We are growing and looking for a highly organized Virtual Assistant – Production Coordinator to support our production team and keep jobs moving efficiently from scheduling through final inspection.
???? Mission of the Role
To ensure projects are completed on time, on budget, and with satisfied clients—by coordinating people, materials, timelines, and documentation with accuracy and accountability.
Key Responsibilities
Manage and update the production calendar daily
Assist with scheduling installs, inspections, deliveries, and dumpsters
Assign subcontractor crews and track work progress in JobProgress CRM
Proactively follow up on permits, materials, and job readiness
Maintain digital project records (photos, documents, COIs, licenses, etc.)
Communicate with clients, subcontractors, and vendors as needed
Perform job closeout tasks: verify completion, documentation, and payment readiness
Identify issues and escalate problems before they cause delays
Ensure data accuracy across JobProgress, Leap, Google Sheets/Docs, etc.
Required Skills & Qualifications
2+ years experience in construction, roofing, or project coordination
Excellent spoken and written English communication
Proficient with CRMs or project management tools (JobProgress is a plus)
Strong organizational skills and ability to multitask
Comfortable managing multiple active jobs at once
Tech-savvy with Google Workspace
Two-monitor setup required
Must be able to work U.S. Eastern business hours
Detail-oriented and proactive—follows up before being asked
Preferred Qualifications
Experience working remotely for a U.S.-based construction or roofing company
Background in Engineering, Architecture, Construction Management, or similar
Previous virtual support to Project/Production Managers
