About the Role:
The Agent/Advisor Operations Coordinator plays a crucial role in the success of our firm by supporting financial advisors and agents in all aspects of the underwriting process, client application management, and operational coordination. You will act as the central point of communication between life insurance companies, agents/advisors, and clients to ensure a seamless experience from application to approval.
This role is ideal for someone who is proactive, detail-oriented, tech-savvy, and passionate about helping others build wealth and leave a legacy.
Key Responsibilities:
???? Underwriting & Application Support
Submit life insurance and annuity applications on behalf of agents/advisors.
Monitor and manage applications through each stage of the underwriting process.
Communicate with carriers to resolve outstanding requirements or issues.
Follow up with clients to collect missing information or provide clarification on behalf of underwriters.
Coordinate and schedule paramedical exams as needed.
Track and document the status of all applications.
Notify agents/advisors upon approval, placement, or decline of applications.
Set up Estate Guru accounts for applicable clients.
???? Advisor & Client Scheduling Support
Manage client scheduling for agents/advisors using internal calendar tools.
Reschedule appointments when necessary and send confirmations to clients.
Set reminders and follow up on upcoming meetings, calls, and application deadlines.
Maintain a weekly schedule for advisors with priority tasks and meetings.
???? Pipeline & CRM (e.g. GHL) Support
Monitor and update client stages in GoHighLevel (GHL) or other CRM tools.
Tag clients appropriately for follow-ups,
Ensure that leads are being nurtured and moved through the pipeline efficiently.
Assign and follow up on GHL tasks with agents/advisors to ensure nothing falls through the cracks.
???? Communication & Reporting
Respond to client
Provide weekly status reports to the leadership team detailing progress, pending items, and problem cases.
Hold weekly check-in meetings with each agent/advisor to review:
Client pipeline
Underwriting updates
Scheduling needs
Task accountability
Escalate urgent issues or roadblocks to leadership when appropriate.
???? Additional Administrative & Operational Support
Maintain organized digital files and records for client applications and approvals.
Create and improve SOPs (standard operating procedures) for application workflows.
Assist with onboarding new agents/advisors to internal systems and tools.
Identify opportunities to improve operational efficiency and suggest solutions.
Required Skills & Qualifications:
Previous experience in life insurance, financial services, or underwriting operations (preferred).
Strong organizational and follow-up skills.
Excellent written and verbal communication.
Ability to manage multiple priorities and deadlines.
Comfortable using CRM tools (GHL experience is a plus), scheduling platforms, and file management systems.
Self-starter with the ability to work independently and proactively solve problems.
Discretion with handling sensitive client and financial information.
Nice to Have:
Familiarity with life insurance carrier portals and application systems.
Experience with Estate Guru or similar estate planning software.
Knowledge of compliance requirements in financial services.
