Role Overview:
We’re seeking a highly organized and operationally driven Chief of Staff to the COO to help scale and streamline our startup. You’ll work directly with the COO to oversee and maintain SOPs, systems, internal processes, and cross-functional execution. This role is mission-critical to ensuring operational clarity, team alignment, and fast execution across the company.
Responsibilities:
**Operations & Systems**
- Own and maintain all SOPs, templates, internal tools, and workflow documentation
- Improve and enforce internal systems for client onboarding, service delivery, and operational efficiency
- Ensure version control and documentation accuracy across all internal processes
**Project Ownership & Execution**
- Lead high-impact, cross-functional projects to improve operations and client experience
- Track timelines, deliverables, and responsibilities to ensure initiatives are executed on time
- Proactively solve process gaps and build scalable systems from scratch when needed
**COO Support & Enablement**
- Act as the COO’s operational extension—managing calendars, filtering requests, and shielding bandwidth
- Run leadership and tea
- Represent the COO in async discussions and drive aligned decision-making across teams
**Team Communication & Alignment**
- Serve as the point-of-contact between the COO and department leads to ensure process consistency
- Draft and distribute operational updates, rollout plans, and strategic briefs
- Monitor adoption and compliance with systems and tools across teams
**Metrics & Reporting**
- Track and report on operational KPIs (SOP adherence, onboarding times, workflow efficiency, etc.)
- Create dashboards or reporting tools to provide visibility and insight for the COO and leadership
**Culture & Enablement**
- Lead onboarding and documentation for new hires related to operations or systems
- Maintain the company’s internal knowledge base, wikis, and training materials
- Reinforce a culture of clarity, ownership, and accountability across departments
