We're Hiring: Interior Design Virtual Assistant

Location: Remote (Must be available during EST business hours)
Type: Part-Time (25 hrs/week to start) with potential to grow into Full-Time

The Role
This is more than a standard admin job. We’re looking for a highly organized, design-savvy Virtual Assistant who understands the flow of renovation and interior design projects. You’ll be the behind-the-scenes force helping us stay on track with project timelines, client communications, and marketing efforts — all while supporting the CEO in daily operations.

What You’ll Be Doing
-Project & Client Coordination
-Track renovation timelines, budgets, and key deliverables
-Coordinate with subcontractors, vendors, and design collaborators
-Schedule virtual walkthroughs, client calls, and site visits
-Keep clients informed and organized from concept to completion
-Respond to client phone calls and
-Support the CEO with task tracking, decision prep, and follow-ups
Admin & Operations
-Manage inbox and calendar scheduling
-Prepare onboarding documents, proposals, and change orders
-Maintain digital organization across Google Drive, CRM, and project folders
-Document and optimize internal workflows and SOPs
-Support with data entry, light reporting, and general back-office support
Sales & Estimates
-Respond to incoming leads and schedule consultations
-Conduct virtual walkthroughs with prospective clients
-Provide rough design or renovation estimates based on client needs
-Track and nurture leads in the sales pipeline
-Research local partnerships and sourcing opportunities
-Follow up with proposals and new client inquiries
Marketing & Social Media
-Plan and schedule content across Instagram,
-Write captions, repurpose past projects, and monitor engagement
-Create newsletters, simple graphics (Canva), or help with blog posts
-Track performance and offer content strategy suggestions
Financial & Revenue Support
-Record client payments and monitor project expenses
-Assist with budgeting and light forecasting
-Help improve systems for tracking profitability and efficiency
You’re a Great Fit If You...
-Have 5+ years of experience in an interior design, renovation, or creative project coordination role
-Are highly organized, detail-driven, and solution-oriented
-Communicate clearly and comfortably over
-Are tech-savvy and confident with tools like Google Workspace, Canva, CRMs (Hubspot), Jotform, Asana/Trello
-Are comfortable managing priorities independently and keeping projects moving forward
-Enjoy working in a small, growing business where your input makes a difference
Work Schedule & Compensation:
This is a part-time role requiring 15 hours to start, and turn into full-time role based on experience and alignment
Pay range of $5-$9CAD per hour, commensurate with experience
