Job Title: Accounting and Bookkeeping Specialist
Key Responsibilities:
Bookkeeping & General Ledger:
Maintain and update general ledger accounts
Record daily financial transactions (sales, purchases, payments, receipts)
Reconcile bank statements and credit card statements
Accounts Payable (AP):
Process vendor invoices and payments
Track due dates and manage payment schedules
Maintain accurate records of all AP transactions
Accounts Receivable (AR):
Generate and send customer invoices
Track receivables and follow up on outstanding balances
Process incoming payments and apply to appropriate accounts
Payroll Support:
Coordinate with payroll service or process payroll internally
Ensure proper tax withholding and benefit deductions
Maintain payroll records and prepare year-end forms (e.g., W-2, 1099)
Month-End & Year-End Close:
Prepare monthly financial reports and statements
Assist in adjusting journal entries and accruals
Coordinate with external CPA or auditors as needed
Budgeting & Forecasting:
Assist with developing and monitoring budgets
Track actual performance against budget
Tax Preparation & Compliance Support:
Maintain organized records for tax filings
Provide data and reports to CPA for quarterly/annual tax returns
File sales tax, franchise tax, or other compliance filings
Internal Controls & Documentation:
Implement and maintain accounting policies and procedures
Ensure proper documentation and approvals for financial transactions
Software & Systems:
Use accounting software (e.g., QuickBooks, Xero, NetSuite, etc.)
Maintain digital filing systems for invoices, receipts, and financial records
Reporting & Communication:
Generate financial summaries for leadership or board
Communicate with vendors, customers, and internal teams regarding financial matters
Qualifications:
Bachelor’s degree in Accounting, Finance, or related field (preferred)
2–5 years of bookkeeping/accounting experience
Proficiency in QuickBooks, Xero, or similar software
Strong understanding of GAAP principles
Excellent attention to detail and organizational skills
Ability to handle confidential information with discretion
Experience with payroll platforms and online banking systems
Strong Excel skills (pivot tables, formulas, etc.)
