We are a licensed home care agency in New Jersey dedicated to delivering compassionate, personalized in-home care and nurse case management to families across the state. As we grow, we are building a strong internal operations team—including a remote Compliance Coordinator to help us meet and exceed all regulatory and documentation standards.
About the Role: We are seeking a **Remote Home Care Compliance Coordinator** to ensure that our agency operates in full compliance with the New Jersey Department of Health (DOH), Department of Labor (DOL), HIPAA, and other applicable regulations. This role is ideal for a detail-oriented virtual assistant with a healthcare or HR background who can support daily compliance tasks and keep the agency audit-ready.
Key Responsibilities:
* Maintain up-to-date caregiver records (licenses, TB tests, CPR, background checks, etc.)
* Monitor and track expirations of time-sensitive documents
* Support documentation for live-in care compliance (e.g. daily logs, sleep hours, breaks)
* Audit CareSmartz360 system to ensure accuracy and compliance
* Assist with preparing and organizing documentation for state audits or inspections
* Help enforce HIPAA compliance in all documentation and communication
* Collaborate with scheduling, HR, and clinical staff to ensure agency compliance
* Assist in writing and updating SOPs (Standard Operating Procedures)
* Maintain internal compliance calendars and flag overdue tasks
* Report compliance issues directly to the Director or Compliance Lead
Requirements:
* Minimum 2 years’ experience in healthcare compliance, HR compliance, or home care operations
* Strong organizational and follow-up skills
* Experience with caregiver or clinical file management
* Familiarity with HIPAA, DOL labor law basics, and home care documentation
* Excellent written and spoken English
* High integrity, attention to detail, and proactive problem-solving
* Comfortable with tools like Google Drive, Excel/Sheets, CRMs, or scheduling software (e.g. CareSmartz360 or similar)
Preferred Qualifications:
* Experience working with a U.S. home care agency
* Knowledge of New Jersey regulations (a plus)
* Background in healthcare administration, nursing, or HR
* Prior work in remote compliance or quality assurance roles
* Familiarity with VA platforms like Trello, Slack, Notion, or Click Up (care smartz 360 experience added advantage}
