Executive Virtual Assistant Application – The Nanny Edit

Position Overview
The Nanny Edit is seeking a highly motivated, detail-oriented, and tech-savvy Executive Virtual Assistant / Director of Recruitment to support our agency’s daily operations, recruiting efforts, and brand engagement.

This dynamic role combines executive assistance, high-level recruiting, administrative support, and creative projects. It is ideal for someone with a strong background in staffing or recruitment, exceptional organizational skills, and a creative eye for social media, blogging, TikTok, etc.

We are looking for a true Type-A go-getter, someone who loves checking tasks off a to-do list, color-coding Google Sheets, creating organized systems, and making sure nothing falls through the cracks. You should be comfortable thinking quickly, taking initiative, solving problems independently, and finding better, more efficient ways for us to operate.

This person will become my right hand and should be willing to jump into a variety of projects, including unexpected or last-minute tasks. No two days will look exactly the same. You may help recruit candidates one day, organize a spreadsheet the next, and assist with a new business or creative project the following week.

We also value continuous learning. You may be asked—and paid—to take a course or training if there is a new skill, system, or strategy we want to learn and implement together. The ideal candidate genuinely enjoys AI, technology, professional development, and discovering smarter ways to work.

This is currently a part-time position offering 15-20 hours per week, with the potential to grow into a full-time role for the right candidate.

Key Responsibilities
Recruitment & Staffing
* Lead recruitment efforts for nanny and household staffing positions nationwide.
* Write compelling, accurate job descriptions tailored to each family’s needs.
* Source qualified candidates through job boards, social media, networking, and local outreach.
* Review resumes, conduct initial interviews, and assess candidates for experience, professionalism, and overall fit.
* Coordinate and complete background-screening processes, including social media, employment, education, and certification verification.
* Conduct detailed reference checks with former employers rather than personal references.
* Create, maintain, and organize candidate profiles.
* Track candidates throughout every stage of the recruitment process using Trello, Dubsado, and NannyLogic.
* Develop recruiting KPIs, monitor performance metrics, and prepare weekly Excel reports.
* Proactively follow up with candidates and ensure the recruitment pipeline continues moving forward.
* Ensure candidates meet agency standards and align with each family’s preferences and needs.
* Identify gaps or inefficiencies in our recruitment process and recommend practical improvements.

Nanny Relationship Management
* Build and nurture strong relationships with current and prospective nannies.
* Serve as the first point of contact for candidate questions, feedback, and support.
* Follow up consistently and ensure candidates feel informed throughout the process.
* Communicate with warmth and professionalism while reflecting the values of The Nanny Edit.
* Help create a positive candidate experience from the initial application through placement.

Executive & Administrative Support
* Serve as a dependable right hand to the agency owner.
* Manage competing priorities and ensure important tasks, deadlines, and follow-ups are completed.
* Organize and update internal databases, spreadsheets, and client and candidate documentation.
* Create and maintain tracking sheets, reports, checklists, and organized workflows in Excel and Google Sheets.
* Support scheduling and internal projects through Trello and Google Workspace.
* Assist with research, outreach, business development, blog writing, partnerships, and other special projects.
* Be willing to jump into unexpected or last-minute assignments when needed.
* Anticipate needs, identify potential problems, and take initiative without waiting for step-by-step instructions.
* Recommend new systems, tools, or processes that could improve efficiency and organization.

Social Media & Branding
* Help develop and implement engaging social media strategies across multiple platforms.
* Write and schedule educational, engaging, and exciting content that reflects our values.
* Monitor and respond to comments and messages with professionalism and warmth.
* Maintain consistency across all written and visual content.
* Help brainstorm creative marketing ideas, partnerships, and opportunities for brand growth.

Learning, Technology & Innovation
* Use AI tools thoughtfully to improve productivity, organization, content creation, and recruiting processes.
* Stay open to learning new platforms, systems, and strategies.
* Complete paid courses or training when requested to develop skills that will benefit the agency.
* Research emerging tools and recommend practical ways to incorporate them into our workflow.
* Look for faster, smarter, and more organized ways to complete recurring tasks.

Qualifications
* At least five years of recruiting experience, preferably within the nanny, household staffing, or broader staffing industry.
* Previous experience as an Executive Virtual Assistant or in a similar administrative role.
* Strong working knowledge of Excel, Google Sheets, Canva, Trello, Calendly, and Google Workspace.
* Demonstrated ability to create, track, analyze, and report KPIs.
* Excellent written and verbal communication skills.
* Strong relationship-building and candidate-management abilities.
* Exceptional attention to detail and organizational skills.
* Ability to manage multiple responsibilities and shifting priorities in a remote environment.
* Comfortable using AI tools and excited to continue learning.
* Able to work independently, make sound decisions, and take ownership of responsibilities.
* Discreet and trustworthy when handling confidential family, candidate, and business information.

Our Ideal Candidate
You may be a great fit if you:

* Have a Type-A personality and genuinely enjoy being organized.
* Love checking items off a to-do list and keeping projects moving forward.
* Get excited about color-coded spreadsheets, organized folders, detailed checklists, and efficient systems.
* Are a proactive go-getter who follows through and does not need to be reminded repeatedly.
* Think quickly and remain calm when priorities change.
* Can take a broad idea, determine the necessary steps, and confidently move it forward.
* Go above and beyond and take pride in producing high-quality work.
* Are willing to wear many hats and help wherever you are needed.
* Enjoy solving problems and finding better ways to do things.
* Love AI, technology, professional development, and learning new skills.
* Love tracking KPIs, analyzing performance data, and using those insights to identify areas for improvement.
* Welcome feedback and are eager to grow alongside the company.
* Enjoy a fast-paced, creative, and mission-driven work environment.
* Are passionate about helping families and nannies find the right match.
* Want to become a trusted right-hand person and contribute meaningfully to the agency’s growth.

We are excited to welcome a proactive, resourceful, organized, and passionate recruiting professional who wants to help elevate The Nanny Edit, with the opportunity to grow as we do!
