Position: Scheduling Manager
Schedule:
- Full-time: MON-SUN
- Must be able to work 5am-6pm MT (Arizona State time) and On Call outside of these times.

We are seeking a dependable, hands-on Scheduling Manager to lead and support the scheduling operations of our fast-paced home care agency. This is a remote role, but candidates must be available during Arizona State time and has prior home care scheduling experience. The Scheduling Manager will oversee the scheduling team, provide backup coverage when needed, assist in training new schedulers, and address performance concerns with professionalism. This role is key to ensuring that all shifts are covered accurately and efficiently, and that both caregivers and clients receive timely and effective scheduling support.
Key Responsibilities:
- Supervise the daily performance and output of the scheduling team
- Be available for on-call emergencies or urgent support needs during scheduled hours
- Step in to assist with scheduling tasks when gaps or high-volume situations arise
- Ensure all shifts are filled appropriately based on caregiver availability, skill set, and client needs
- Train and mentor new or junior scheduling tea
- Conduct performance conversations with schedulers when issues arise, offering support and corrective guidance as needed
- Maintain high standards of communication and follow-through with caregivers, clients, and internal departments
- Use scheduling software efficiently to manage, update, and adjust schedules
- Monitor fill rates, track coverage metrics, and proactively prevent gaps in service
Requirements:
- Minimum 1–2 years of experience in home care or healthcare scheduling
- Prior experience using scheduling platforms such as WellSky. (IF YOU DO NOT KNOW HOW TO USE WELLSKY, DO NOT APPLY).
- Strong understanding of caregiver-client matching based on compatibility, skill set, and availability
- Comfortable having difficult conversations and providing feedback to tea
- Excellent communication skills across phone, text, and
- Calm under pressure with the ability to resolve scheduling conflicts quickly and professionally
- Highly organized, detail-oriented, and tech-savvy
- Collaborative, team-first mentality with strong leadership skills
