The Commercial Property Coordinator plays a critical role in the day-to-day operations of the property management team. This position requires strong organizational skills, attention to detail, and the ability to communicate effectively with tenants, vendors, and internal tea
The Property Management Coordinator will provide administrative support to the company by performing the following duties for the company and nine office projects:
Administrative Support:
? Answering multi-line phone system and directing client to the correct personnel.
? Maintaining accurate records of tenant information, lease documentation and other relevant information in Appfolio and company server.
? Issue validation and access cards to guests, vendors, and contractors through Genea Sequr or Sonitrol portal.
? Having full knowledge of properties, entities, tenants, and owners that The Kelemen Company manages.
? Adhoc administrative tasks as directed by the Senior Property Manager.
Tenant Relations:
• Coordinate tenant service requests such as temperature adjustments, trash pickup, and other maintenance needs by communicating daily with building engineers and porters.
• Accurately enter and manage work orders in AppFolio, ensuring detailed notes are provided for vendors and properly reflected in reports.
• Create and maintain the Master Property Information database, including vendor contact lists and property-specific details.
• Monitor system alerts and escalate relevant issues to the Senior Property Manager or Property Managers as appropriate.
• Maintain the building calendar by scheduling vendor repairs, property walks, and related activities.
• Assist tenants with conference room reservations by reviewing availability and preparing appropriate contracts.
• Oversee the collection and management of Certificates of Insurance (COIs) from tenants and vendors, ensuring compliance and up-to-date documentation at all times.
• Update the Touchsource building directory for The Atrium and CP37 buildings to reflect current tenant information.
• Organize and maintain tenant files on the shared server per the established Table of Contents, storing and generating tenant communications and notices.
• For new vendor setup, collect all required documentation and coordinate with the accounting department for processing.
• File general vendor documents for easy retrieval and compliance.
• Generate various recurring reports as assigned, and distribute them to the Senior Property Manager and Property Managers on a daily, weekly, or monthly basis.
• Produce a weekly maintenance report from AppFolio to present during the Friday Property Management tea
