Job Title: Virtual Administrative Assistant (Real Estate Focus)
Location: Remote
Hours: Full-Time | 8:00 AM – 5:00 PM EST (Monday to Friday)
Compensation: Based on experience
About the Role:
We are seeking a highly organized and motivated Virtual Administrative Assistant to support our real estate operations. The ideal candidate will have a strong background in administrative tasks, real estate transaction coordination, CRM/lead management, and cold calling. This is a remote position that requires excellent communication skills, tech savviness, and the ability to multitask efficiently.
Key Responsibilities:
Real Estate Transaction Management
Coordinate all aspects of real estate transactions from contract to close
Communicate with clients, agents, escrow/title, lenders, and other stakeholders
Ensure all documentation is completed, filed, and compliant with real estate regulations
Lead & CRM Management
Manage and update lead databases (e.g., follow-up systems, pipeline tracking)
Organize and assign leads based on priority and agent availability
Monitor lead progress and provide weekly reports on conversion metrics
Administrative Support
Handle scheduling,
Create and maintain spreadsheets and reports using Microsoft Excel
Utilize Google Workspace (Docs, Sheets, Drive, Calendar, Gmail) for document management and collaboration
Cold Calling & Client Outreach
Make outbound calls to prospective leads and set appointments
Follow scripts and maintain a professional tone with all contacts
Track outreach activity and update CRM systems accordingly
Qualifications:
Proven experience in real estate administration, transaction coordination, or a similar virtual assistant role
Proficiency in Microsoft Excel and Google Business Suite (Workspace)
Experience with CRM systems and lead management tools (e.g., Follow Up Boss, Zoho, Salesforce)
Strong written and verbal communication skills
Ability to work independently and meet deadlines in a fast-paced environment
Comfortable making cold calls and handling client objections
High attention to detail and problem-solving abilities
Preferred Qualifications:
Familiarity with U.S. real estate practices and documentation
Experience working in a real estate team environment
Bilingual (English/Spanish) is a plus but not required
